About the Role
The Talent Assistant plays a vital role in supporting Joybound’s Talent Team initiatives, serving as an administrative partner in essential HR functions including HRIS optimization, talent acquisition, employee onboarding, benefits administration, training coordination, and general HR operations.
Responsibilities
- General Human Resources
- Interact and communicate with colleagues, volunteers, and the public to advance a culture of positivity, professionalism, trust, transparency, empathy, and excellence.
- Resolve employee questions and concerns in a timely, respectful, and transparent manner.
- Support the onboarding process, including preparing name badges, completing new hire documents, HRIS entry, and supporting weekly Joining Joybound orientation meetings.
- Facilitate the offboarding process for departing employees, ensuring final documentation and pay meet required deadlines and compliance.
- Provide data and reports as needed.
- Maintain job descriptions, ensuring unified format and necessary revisions for new, reclassified, or reassigned employees.
- Maintain all employee files while adhering to record retention requirements.
- Update and maintain org charts.
- Document processes and develop standard operating procedures (SOP).
- Respond to all employment verification requests (phone, email, or mail).
- Treat people and animals with respect, contribute to effective teamwork, and promote staff cooperation.
- Maintain confidentiality of all information.
- Comply with all federal, state, and local safety regulations and Joybound policies.
- Follow established procedures for safe work practices and ensure the safety of oneself and others.
- Promote teamwork, communication, and cooperation with all other departments.
- Benefits Support
- Support enrollment in employee benefits including medical, dental, vision, life, FSA, and 403(b).
- Support Affordable Care Act (ACA) compliance and reporting.
- Support administration of the Worker’s Compensation program.
- Talent Acquisition
- Support the recruitment process by performing administrative tasks to facilitate smooth coordination of hiring.
- Post job openings on job boards, the company website, and social media platforms.
- Conduct background checks for staff positions, Pet Hug Pack volunteers, and other departments as needed.
- Prepare offer letters, route for approvals, and ensure applicant signatures.
- Monitor and manage job postings to ensure accuracy and visibility.
- Maintain and update the applicant tracking system (ATS) with candidate information and recruitment statuses.
- Learning and Development
- Maintain employee training records and follow up on enrollment and completion.
- Support coordination and scheduling of training sessions.
- Process required annual Harassment Prevention trainings and ensure completion.
- Perform other duties as needed.
Requirements
- BA in business administration, human resources, or a related field and one year of relevant experience, or equivalent experience.
- Ability to prioritize in a fast-paced environment, work independently and within a team, and remain current with technology.
- Strong customer service skills, with the ability to communicate pleasantly, courteously, and tactfully with the public, volunteers, and coworkers.
- Extraordinary personal and professional integrity, judgment, discretion, and confidentiality.
- Strong oral and written communication skills, with a commitment to timely and professional responses.
- High level of attention to detail and organizational skills, with the ability to coordinate large amounts of data accurately while meeting deadlines.
- Ability to support and work well with a diverse staff and community.
- Ability to track, provide, and interpret staff data (e.g., turnover rates, training participation, demographic data, promotions).

- Ability to work as a team and independently with general supervision.
- Experience with HRIS systems (Paycom preferred), Microsoft Office suite (Outlook, Excel, PowerPoint), and Zoom.
- Affection for animals, concern for their welfare, and willingness to accommodate animals in the workplace.
- Pre-employment background check required.
Physical/Environmental Requirements
- Constant exposure to animals and animal allergens.
- Push/pull moderately heavy objects up to 25 pounds.
- Lift and move objects up to 25 pounds for short distances.
- Kneel, bend, stoop, squat, reach above and below shoulder level, grasp and turn objects, stand, and/or walk frequently and repetitively throughout each shift.
- Flex the neck upward and downward; twist the neck and waist.
- Sit for long and short periods while using a computer.
- Tetanus and rabies inoculations are required or must be waived.
Schedule
Part-time, non-exempt, and onsite position. Requires 18 hours per week: six hours daily on Monday, Tuesday, or Wednesday, and Thursday.
