Float Program Coordinator III - ARCHES - Salem, OR

This is a grant funded, full-time position serving the sheltering departments of CRP and HYS, programs of Mid-Willamette Community Action Agency. The float Program Coordinator will travel between multiple sites as needed. The position is renewable annually based on continuation of project funding. MWVCAA operates transitional housing shelters for individuals and families who are experiencing homelessness. The Program Coordinator will aim to create a unified system, whereby basic needs and housing services are provided to clients.

Responsibilities

• Facilitating daily operations under Program Management, purchasing and ordering of supplies, coordinating housekeeping and food services, upholding program data collection & reporting
• Collaborating with shelter staff, training volunteers and interns
• Assisting with program planning geared towards expansion of shelter service offerings
• Coordinating and planning enrichment opportunities as well as the provision of client centered and trauma informed care
• Collaborating with a team of case managers and community partners to ensure continuity of client services
• Facilitating daily operations of program services, including housekeeping, laundry, kitchen and supportive services
• Responsible for all financial tracking, inventory, purchasing and ordering supplies, and purchase reconciliation for the program
• Making appropriate maintenance requests for the program building; may be required to assist with basic maintenance repair
• Training and assisting staff, volunteers, and interns; supporting adherence to program policy and procedures
• Communicating program needs, maintenance issues, and client issues with the Program Manager
• Acting as the sheltering location's safety committee member, and ensuring the program is compliant with all agency, state, and federal safety standards
• Maintaining facility licensing requirements and ensuring the daily cleanliness of the program facility
• Maintaining complete client records, daily activity logs, mileage logs, and other reports as directed
• Applying crisis intervention and de-escalation techniques as needed
• Identifying program candidates through use of coordinated entry system and direct referrals from state and federal partners
• Assisting referred clients in completing program applications
• Entering complete client data and service transactions in the Homeless Management Information System (HMIS)
• Establishing and maintaining positive, productive working relationships with housing programs, police (and other local officials), and providers of services and resources to homeless neighbors
• Filling in for Site Assistants and Case Managers as needed by Program Manager
• Attending and engaging in required annual trainings
• Other duties as assigned

Qualifications

Education and/or Experience

• Associate's degree in social services, public health, or related field
• Two years of case management or social service experience
• Ideal candidates will possess an advanced degree with three or more years of homeless service delivery experience
• Equivalent combination of education and experience will be considered

Certificates, Licenses & Registrations

• Valid driver license, insured vehicle available for use on the job, and a satisfactory drive record for the previous three years are required
• Basic Life Support/First Aid Certification is required within first 30 days of hire
• Must obtain Food Handler's Card within 30 days of hire
• Must pass a comprehensive MWVCAA background screening prior to employment
• Must pass Oregon Department of Human Services criminal background check
• Must pass pre-employment and random drug screenings

Knowledge, Skills & Abilities

• Effective interpersonal communication skills, in both oral and written form
• Proficiencies in computers, Microsoft Office products, database software and web tools
• Demonstrates tact, diplomacy and empathy when communicating with clients, staff and program partners
• Possesses excellent planning, organization and time management skills

Physical and mental demands

• Assists at various locations, which will require travel as needed
• Driving in all weather conditions to ARCHES sites in Marion and Polk Counties
• Manual dexterity for handling computers, devices, and office equipment
• Frequently lift up to 25 pounds; occasionally lift up to 50 pounds
• Maintains calm dispositions and regulates emotions when clients, staff, or others may become escalated
• Ability to engage de-escalation techniques using trauma-informed care
• Regulates emotions and handles pressure of frequent demands for attention, time and work tasks
• Specific vision abilities required include close vision and ability to adjust focus
• Ability to exercise judgement and quick decision-making skills in response to guest or client incidents

Work environment

• Close quarters, often with a client population experiencing homelessness, substance use disorders, and/or severe and persistent mental illness, and/or unpredictable behavior
• Indoor work environment with frequent interruptions and demands
• Variable and flexible work hours, including holidays, early mornings, evenings, and weekends
• Occasional trips into camps throughout Marion and Polk County
• Occasional exposure to biohazards requiring frequent use of PPE such as gloves, masks, eye protection, protective clothing and shoes or boots
• Frequent exposure to animals and animal dander
• Not eligible for remote work
