General Description

Provides bookkeeping services for the school/department. Provides clerical support and assists with procurement and coordination of purchasing to ensure the efficient operation of the department.

Essential Job Functions

  • Performs data entry of financial information
  • Prepares a monthly reconciliation of purchasing cards
  • Processes invoices from vendors and ensures invoices are routed through appropriate approval processes
  • Responds to telephone and walk-in inquiries related to status of purchase orders and payments to vendors
  • Answers phones for incoming calls
  • Meets and/or contacts vendors to resolve issues
  • Creates and maintains spreadsheets upon request
  • Serves as back up to the office team to address concerns, process work orders and other administrative clerical responsibilities
  • Supports the payroll process as a back-up

Budgetary Responsibility

Works within the restraints of the department budget. Reports preparation includes assisting in preparing and updating all information pertaining to budgets, grants, credit card statements and other reports as they arise. Prepares year-end reports including year-to-date and audit reports.

Equipment Operation

Operates personal computer, basic office equipment and equipment related to the area assigned.

Physical Demands

  • Must have the ability to sit and stand for extended periods of time
  • Exhibit manual dexterity to use a telephone, to enter data into a computer terminal
  • To see and read a computer screen and printed material with or without vision aids
  • Hear, understand speech and speak in audible tones so that others may understand clearly at normal levels indoors and on the telephone
  • Physical agility to drive, bend, stoop, sit on the floor, climb stairs, walk and reach overhead

Qualifications

  • Knowledge of general accounting principles and bookkeeping functions
  • Some knowledge of departmental functions and responsibilities; of office operations and procedures; of business English and mathematics and office equipment to include manual and automated filing systems
  • Working skill in the use of a personal computer utilizing spreadsheet, word processing and database software (Excel, Word and Access preferred) and adding machines
  • Demonstrated ability to interpret and apply policies and procedures; to perform mathematical calculations and reconcile accounts and to assemble data and prepare reports
  • Demonstrated ability to communicate effectively both orally and in writing, exercise judgment and work effectively with all levels of the organization and the public
