About the role

Join the incarcerated-led innovation lab partnering with the Governor's Office, eL Seed, FaithXLVII, and other San Quentin SkunkWorks is redefining how reform happens — bringing world-class designers, artists, and technologists together inside prison walls to co-create the future of justice.

The role serves as the primary bookkeeper for a growing 501(c)(3) with multiple grant-funded programs, restricted and unrestricted funds, and an expanding base of institutional partnerships. The commitment is approximately 4–6 hours per month, flexible and remote-friendly, with the option to visit San Quentin if you'd like to see the work firsthand. You'll report directly to the Executive Director.

Responsibilities

  • Perform monthly bank and credit card reconciliations in QuickBooks Online
  • Maintain an accurate chart of accounts across multiple funding sources, including grant-restricted and unrestricted funds
  • Prepare monthly financial reports (P&L, balance sheet, budget vs. actual) for leadership and board review
  • Ensure proper expense categorization and documentation for audit readiness
  • Support grant-related financial tracking and funder reporting requirements
  • Flag discrepancies and recommend process improvements as the organization scales

Requirements

  • 5+ years of bookkeeping or accounting experience, preferably supporting a nonprofit or mission-driven organization
  • Strong proficiency in QuickBooks Online, including reconciliations, chart of accounts management, journal entries, and financial reporting
  • Demonstrated experience preparing board-ready financials (P&L, balance sheet, budget vs. actual)
  • Familiarity with nonprofit accounting standards, including fund accounting and restricted/unrestricted fund tracking
  • Strong working knowledge of Excel or Google Sheets for financial analysis
  • Ability to work independently, maintain clean documentation, and keep audit-ready records
  • High integrity and discretion with financial information

Strongly Preferred

  • CPA, EA, or professional bookkeeping certification
  • Experience supporting Form 990 preparation or annual audits
  • Experience setting up or improving QuickBooks workflows and internal controls
  • Prior work with nonprofits in the $250K–$1M budget range
