ESSENTIAL JOB DUTIES
- Responsible for day‑to‑day facilities operations including mailroom, pantry services, conference room operations, furniture, cleaning, and light maintenance.
- Supervise Facilities staff and provide guidance and support on daily operational tasks, priorities, and service delivery.
- Receive, process, sort, and distribute incoming, outgoing, and interoffice mail and packages as required.
- Manage FedEx, UPS, USPS, DHL, and other shipping vendors including billing issues, reporting, and user administration.
- Cook up furniture reconfigurations, desk moves, and employee relocations, including vendor access, site inspections, and budget tracking.
- Conduct daily walkthroughs to identify and address office safety, cleanliness and any issues that may arise.
- Maintain and support corporate office technology systems including conference room AV, video conferencing platforms, access control, security system, emergency notification systems, and building management systems (BMS).
- Ensure all conference room and office technology equipment is operational at the start of each business day; troubleshoot issues and coordinate vendor support when required.
- Provide on-site support for meetings and events, including video conferencing, recording, and post meeting clean up, and reset.
- Cook with the Systems Planning (IT) Team on network-related issues, infrastructure dependencies, system upgrades, and facilities-based technology projects.
- Support and maintain emergency communication platforms and business continuity tools in collaboration with Administration, Human Resources and MAC Business Units. Support with updating crisis management and BCP related materials.
- Maintain and update internal broadcast systems, including Apple TV and digital signage, across MAC locations.
- Develop and maintain basic end-user documentation and guides for facilities-related technology systems.
- Aid with facilities, technology, and security projects including request for proposal (RFP) development, vendor evaluation, procurement, budgeting, and on-site project oversight.
- Initiate service contract reviews and renewals in accordance with Administration and IT standards.
- Cook and oversee maintenance of supplemental HVAC systems, fire protection systems, data room fire suppression, and UPS equipment.
- Serve as a member of MAC’s Crisis Management Team; assist with emergency preparedness training and communications.
- Act as a first responder for facilities- and technology-related incidents and escalate as appropriate.
- Aid MAC and MGC employees with facilities, office services and technology-related requests as needed.
MINIMUM EDUCATION REQUIREMENTS
- Bachelor’s Degree required (Facilities Management, Engineering, IT, or related field preferred)
MINIMUM EXPERIENCE & CAPABILITY REQUIREMENTS
- Five (5) to seven (7) years of facilities, technology, AV, and security systems experience
- Strong vendor coordination and project management skills
- Ability to handle basic maintenance tasks
- Ability to interpret drawings and system documentation
- Strong organizational, communication, and customer service skills
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
- Ability to lift up to 50 pounds
- Ability to work effectively in a multi-cultural business environment
- Supervisory experience required
- Knowledge of the Everbridge platform a plus
