About the role
The Facilities Specialist supports all facilities activities under the direction of the Director of Facilities Management. This position serves as the first point of contact for internal and external customers seeking support and information from the Facilities department. The role provides administrative support to the Director of Facilities Management and the Facilities department, managing functions including work order coordination, database management, daily office operations, procurement systems, and facilities records. Additionally, the specialist manages all outside vendors, maintains records and contracts, coordinates project activities, and provides scheduling support.
Responsibilities
- Oversees Facilities-related work order systems, assisting all Cadence campuses utilizing those systems, including receiving work requests, assigning work orders, entering system data, and providing overall system administration.
- Coordinates all Facilities activities, work direction, and support systems. Independently maintains and updates administrative policies and processes.
- Assists and supports the Director of Facilities Management in all aspects of project implementation and external contacts as needed. Supervises and trains facility employees and contractors as required.
- Sets up, maintains, and organizes the department's central files, information, filing, and messages. Assists facilities staff in locating parts, supplies, materials, and appliances.
- Represents the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
- Liaises with Facilities vendors to ensure timely service and complete customer satisfaction for all Cadence campuses.
Requirements
- High school diploma or GED.
- Minimum of two (2) years of facilities-related experience demonstrating an understanding of the required knowledge, skills, and abilities.
- Flexibility to work in various US time zones (Hawaii excluded).

- Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint) and maintenance management software.
