About the role

The Building Project Coordinator will join a dynamic program in a world-class operations facility, serving as an integral part of the team providing occupancy management. The coordinator will support quick reaction and longer-term planning for facility requirements, ensuring operational coordination across the facilities team, building occupants, and vendors.

Responsibilities

  • Ensure day-to-day operations including mail, inventory, and basic procurement of supplies.
  • Logistical support for local movements.
  • Assist in emergency situations such as EMS calls and procedures.
  • Maintain tenant contact information and support ad hoc responsibilities as they arise.
  • Support overall building events, including trainings and manage building event gatherings as required.

Requirements

  • Demonstrate real-world experience coordinating operational aspects of ongoing projects and serving as a liaison between building occupants, program teams, and other corporate requirements.
  • Professional verbal and written communication skills, with the ability to use good judgment across a large audience.
  • Demonstrated experience as a primary point of contact for a project or customer service role.
  • Demonstrated experience with workflow management lifecycle, tracking ongoing taskings through to completion.
  • Coordination of multiple stakeholders and building usage, including accesses.
  • Ability to support facilities and logistical requirements.
  • Proficient Microsoft Office skills, including PowerPoint, Word, and Excel.
  • Willingness and ability to learn new software.
  • Coordinate building usage, monitor schedules of projects, conference rooms, classrooms, and other co-use areas within the buildings.
  • Manage petty cash fund.
  • Coordinate travel for program personnel, including travel expense reports.

Qualifications

  • Associate degree or equivalent experience in lieu of education plus 3-5 years of experience.
  • Knowledgeable in facility-related infrastructure.

Skills

  • Excellent verbal and written communication skills.
  • Good judgment and ability to communicate effectively with a large audience.
  • Experience as a primary point of contact for projects or customer service roles.
  • Workflow management experience, including the ability to track and complete tasks.
  • Coordination of multiple stakeholders and building usage, including accesses.
  • Proficiency in Microsoft Office applications (PowerPoint, Word, Excel).
  • Ability to learn and use new software.
  • Experience managing petty cash funds and coordinating travel.
