D&G is seeking a highly qualified Executive Program Administrator to provide comprehensive administrative and staff support functions with significant autonomy. This position is vital to the successful operation of a Senior Military Leader's office, demanding strong coordination across the directorate and command, effective management of competing priorities, resolution of administrative issues, and consistent support to senior office leadership through the efficient execution of business processes. The ideal candidate will demonstrate exemplary organizational abilities, meticulous attention to detail, and proficiency in collaborative work across the organization.

Responsibilities

  • Perform a full range of administrative duties, including managing calendars, scheduling and coordinating meetings, reserving conference rooms, establishing Video Teleconference (VTC) or online meeting connections, answering and directing phone calls, and preparing materials for conferences, Town Halls, offsites, and briefings.
  • Aid the Director and Deputy Director with work-related travel arrangements.
  • Maintain and manage taskers and deadlines, ensuring responsible parties' complete assignments on time and with the expected level of quality.
  • Utilize systems such as ETMS2 to receive, track, coordinate, and respond to internal and external taskers.
  • Draft and edit routine correspondence, reports, and staff summaries in accordance with agency standards.
  • Cover Joint Staff, OSW, DLA, USTRANSCOM, and other organizations to support executive-level interactions.
  • Engage with Division Heads and staff to obtain information required by senior leadership.
  • Process correspondence on behalf of the Director and Deputy Director.
  • Prepare special reports and summaries by researching, selecting, and synthesizing information from multiple sources.
  • Plan, schedule, and coordinate meetings on behalf of the Director and Deputy Director.
  • Serve as liaison to the Command Joint Secretariat for Records Management initiatives.
  • Maintain SharePoint sites, distribution lists, organizational charts, recall rosters, and office file systems.
  • Aid in the proper distribution and handling of classified and unclassified documents.
  • Support military and civilian personnel actions.
  • Perform additional duties as assigned.

Requirements

  • Required Bachelor's Degree from an accredited university in a relevant field.
  • Minimum of 5 years of relevant professional experience.
  • Demonstrated interpersonal, organizational, and problem-solving skills.
  • Strong written and oral communication skills with the ability to synthesize information and prepare clear, concise materials.
  • High level of attention to detail and the ability to manage competing priorities and deadlines.
  • Experience interacting professionally with senior leaders, staff, and external partners.
  • Ability to work independently and as part of a collaborative team.
  • Ability to handle sensitive information with discretion.
  • Extensive knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to independently operate office technology, including copiers, scanners, phones, teleconference/video teleconference equipment, and related administrative systems.

Qualifications

  • Current Active Secret clearance required to be considered.
  • This role is restricted to U.S. citizens as defined under 8 U.S.C. 1324b(a)(3).
