About the Role
The Executive Assistant provides high-level administrative support to Vice Presidents and Senior Vice Presidents while assisting assigned departments with day-to-day operations. This role manages executive calendars, coordinates meetings and travel, prepares reports, maintains confidential information, supports departmental events, and serves as a key liaison between executives, internal teams, and external partners.
Responsibilities
- Executive Support
- Provide comprehensive administrative support to Vice Presidents and Senior Vice Presidents.
- Manage executive priorities and ensure efficient daily operations.
- Prepare agendas and supporting materials for executive meetings.
- Coordinate executive schedules and administrative activities.
- Handle confidential information with the highest level of professionalism and discretion.
- Calendar & Travel Management
- Manage complex executive calendars and scheduling requests.
- Coordinate meetings, conferences, teleconferences, and appointments.
- Arrange domestic business travel and prepare detailed itineraries.
- Anticipate scheduling conflicts and recommend effective solutions.
- Ensure executives are prepared for upcoming meetings and events.
- Financial & Administrative Support
- Reconcile vendor invoices, receipts, corporate credit card statements, and expense documentation.
- Verify the accuracy of financial records before submission.
- Prepare administrative reports and supporting documentation.
- Maintain organized departmental records and files.
- Assist with administrative processes and departmental operations.
- Meeting & Event Coordination
- Organize executive meetings, departmental events, and conferences.
- Record meeting notes and prepare accurate meeting minutes.
- Track action items and follow up with assigned team members.
- Coordinate event logistics with vendors and internal stakeholders.
- Support departmental initiatives and special projects.
- Communication & Office Administration
- Serve as the primary point of contact for assigned departments.
- Maintain executive contact databases and communication lists.
- Prepare reports, correspondence, presentations, and business documents.
- Communicate professionally with internal teams, vendors, and external partners.
- Ensure timely and effective communication across departments.
- Cross-Functional Collaboration
- Act as a liaison between executives and multiple business units.
- Build strong working relationships with employees at all organizational levels.
- Provide backup support for other administrative team members as needed.
- Collaborate on organizational initiatives and administrative projects.
- Contribute to a positive, collaborative workplace culture.
- Records & Process Management
- Maintain accurate administrative records and documentation.
- Review and edit business documents for quality and accuracy.
- Support continuous improvement of administrative processes.
- Ensure compliance with organizational policies and procedures.
- Maintain efficient filing systems and document management practices.
Qualifications
- Minimum of five years of administrative experience in a corporate environment supporting senior executives.
- Experience supporting Vice President-level or higher leadership.
- Typing speed of at least 60 words per minute.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong written, verbal, and interpersonal communication skills.
- Excellent organizational, multitasking, and time-management abilities.
- Strong attention to detail and accuracy.
- Ability to manage confidential and sensitive information.
- Ability to work independently while managing multiple priorities.
- Ability to quickly learn organizational policies, procedures, and business operations.
Preferred Skills
- Experience coordinating executive meetings, travel, and special events.
- Experience managing financial documentation, expense reconciliation, and vendor communications.
- Experience working in nonprofit or mission-driven organizations.
- Knowledge of executive office administration and corporate governance practices.
