Executive Assistant to Senior Leadership
About the role
The ideal candidate will be a self-starter with exceptional communication skills, a strong command of Microsoft Office and Copilot tools, and the ability to manage multiple priorities with precision and discretion.
Responsibilities
- Monitor and manage complex executive calendars, including scheduling meetings, resolving conflicts, and ensuring timely follow-ups.
- Anticipate scheduling needs and proactively adjust for changes or priorities.
- Prepare, review, and submit accurate and timely expense reports in accordance with company policies.
- Manage the company’s corporate travel program, including policy oversight, vendor relationships, and traveler support.
- Maintain corporate policies and procedures documentation.
- Plan and coordinate office events, executive offsite meetings, and Board of Directors meetings.
- Manage logistics including venue booking, catering, travel arrangements, and technology setup.
- Compile, format, and assemble Board of Directors meeting materials from multiple sources.
- Ensure accuracy, consistency, and timely delivery of all board-related documentation.
- Create and format high-quality documents, PowerPoint presentations, and Excel reports.
- Utilize pivot tables and advanced Excel functions for data analysis and reporting.
- Serve as a point of contact between executives and internal/external stakeholders.
- Draft, proofread, and manage correspondence with a high degree of professionalism.
Requirements
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with Microsoft Teams, including hosting virtual meetings, sharing content across channels, and leveraging AI-powered tools like Copilot in Teams to enhance collaboration, streamline workflows, and improve meeting productivity.
- Excellent written and verbal communication skills.
- Ability to assemble and format complex documents from multiple sources.
- High attention to detail, accuracy, and timeliness in task execution.
- Strong organizational and time management skills.
- Ability to work independently in a hybrid environment.
- Proactive and deliberate approach to managing office activities and upcoming events.
- Sound judgment and decision-making skills.
- Comfortable working with all levels of the organization, including senior leadership and board members.
- Strong understanding of travel policies, expense compliance, and vendor management.
Qualifications
- 5-10 years’ experience supporting C-level executives.
- Familiarity with board governance practices and corporate compliance.
- Experience with document management systems and collaboration tools (e.g., SharePoint, Teams).
- Experience working with corporate travel agencies or travel management platforms.

Pay
Salary Range: $72,557 - $95,767 - $118,873
