About the Role

We are looking for a highly proactive, organized, and tech-savvy Executive Assistant (EA) to partner directly with our head of Navan Travel Marketplace. In a fast-scaling technology and product organization, you will act as a strategic partner, gatekeeper, and operational engine, managing the chaos behind the scenes so your executive can focus on building the future. You will have a front-row seat to how product and engineering decisions are made, navigating complex organizational dynamics with high EQ, project management skills, and technology fluency.

Responsibilities

Calendar & Time Management (The Strategic Gatekeeper)

  • Own and optimize an incredibly complex, shifting calendar across multiple time zones, prioritizing meetings to ensure the executive focuses on high-leverage activities while preserving critical blocks for "deep work" and product strategy.
  • Anticipate scheduling needs by learning the rhythms of a tech/product org (e.g., sprint planning, roadmap reviews, ship rooms, and board prep).
  • Prepare the executive for every meeting by gathering agendas, context, metrics, and pre-reading materials from product managers and engineering leads.

Team Operations & Event Logistics (The Execution Force)

  • Plan and execute large-scale team events, including product/engineering offsites, hackathons, global all-hands meetings, or partnership events.
  • Coordinate seamless, end-to-end global travel logistics (flights, hotels, transport) and manage timely expense reconciliation.
  • Manage ad-hoc operational projects, track action items from leadership meetings, and follow up with cross-functional partners to ensure deliverables stay on track.

Communication & Culture (The Org Connector)

  • Draft, edit, and proofread internal announcements, team updates, and Slack communications on behalf of the executive.
  • Act as a warm, professional, and accessible bridge between the executive and their global team of engineers, product managers, designers, external partners, and cross-functional teams.
  • Handle highly sensitive information—including product roadmaps, personnel changes, and financial data—with absolute discretion and confidentiality.

Requirements

  • Tech & Product Literacy: Deep familiarity with how modern tech companies operate, including tools like Slack, Google Workspace, Jira, Confluence, and modern AI productivity tools. Understanding of tech terminology (e.g., sprints, deploys, roadmaps, APIs).
  • Ruthless Prioritization & Ambiguity Mapping: Ability to navigate an ambiguous, hyper-growth environment and independently figure out the "how" when handed a goal.
  • Exceptional Communication Skills: Sharp eye for detail and ability to draft executive-level communications that match the tone, clarity, and urgency of the organization.
  • High Emotional Intelligence (EQ): Ability to read the room, anticipate needs, and build trusting relationships across all levels of the company.
  • Experience: 5+ years as an Executive Assistant, with at least 2+ years supporting an executive within a fast-paced technology, engineering, or product management organization.

Benefits

  • Deep Impact: Your organizational skills directly dictate how effectively product and engineering leadership can execute.
  • Dynamic Environment: No two days are the same—moving between strategic planning, creative offsite coordination, and rapid-fire problem-solving.
  • Growth & Access: Embedded within the core engine of the company, gaining unparalleled exposure to product strategy, technical architecture debates, and executive decision-making.

Pay

The posted pay range represents the anticipated low and high end of the compensation for this position and is subject to change based on business need. Factors considered include primary work location, candidate skills and experience, market demands, and internal parity. For roles with on-target-earnings (OTE), the range includes base salary and target incentive compensation, with higher compensation for those who exceed targets.

Pay Range: $83,700 USD - $186,000 USD
