About the role

This position is responsible for providing highly diverse administrative support to the Luxe General Manager. You will work closely with top executives across all divisions and brands, outside vendors, and International Top Management.

Responsibilities

  • Calendar management for internal and external meetings, including complex scheduling
  • Manage domestic and international travel arrangements and prepare travel and expense reports
  • Arrange and coordinate large meetings, including managing attendees, booking locations, arranging meals, and A/V materials
  • Prepare agendas, send meeting requests, confirm attendance, reserve meeting spaces, and coordinate with IT for technical systems (e.g., video conferencing)
  • Handle logistics for onsite and offsite events for the executive leadership team
  • Prepare and type correspondence, presentations, spreadsheets, and organizational charts using advanced PowerPoint and Excel skills
  • Manage executive communications, directives, and information flow between supervisors, executive management, and their teams
  • Anticipate patterns and generate innovative solutions to complex problems
  • Make executive decisions and problem-solve at all levels, both internally and externally
  • Organize and maintain a central filing system, including files and aids for internal and external meetings
  • Draft reports and maintain documentation for meetings
  • Expense report preparation and management of the T&E budget
  • Organize and manage team purchase orders (POs), the group’s financial budget, and expenses for the General Manager
  • Facilitate the Brand Employee Engagement team to organize and support initiatives that strengthen workplace culture and employee experience
  • Ad hoc project work

Requirements

  • Prior administrative experience in a corporate environment
  • Ability to work in a challenging and fast-paced environment
  • Financially savvy with the ability to manage budgets and POs
  • Bachelor’s degree is strongly preferred
  • Authorization to work in the United States on a full-time, permanent, ongoing basis (no immigration support/sponsorship offered)
  • Must be present in the office three days a week

  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint) and Outlook
  • Adaptable and able to learn new systems quickly and efficiently

  • Ability to work in a team environment across multiple functions
  • Positivity and resourcefulness

Pay

Salary range: $90,000–$126,000 (actual compensation will depend on geographic location, work experience, education, and skill level).

Schedule

Hybrid work policy: 3 days in the office, 2 days remote.
