Hiring Department School of Medicine Dean's Office Job Description The Executive Assistant provides advanced administrative and operational support to senior leaders within the Dean's Office. This position serves as a trusted partner to executive leadership by independently managing complex calendars, coordinating high-priority initiatives, preparing confidential communications, and ensuring the efficient operation of the executive office. Working with a high degree of independence, the Executive Assistant exercises sound judgment, discretion, and professionalism while interacting with faculty, department chairs, university leadership, healthcare partners, students, staff, and external stakeholders. This role requires exceptional organizational skills, the ability to manage competing priorities, and a proactive approach to supporting executive leadership in a fast-paced academic medicine environment. ________________________________________ Essential Duties And Responsibilities Provide advanced administrative and operational support to Dean's Office executive leadership. Independently manage complex executive calendars, prioritize competing commitments, resolve scheduling conflicts, and coordinate meetings across multiple stakeholders. Draft, edit, proofread, and manage confidential executive correspondence, reports, presentations, briefing materials, and other official communications. Serve as a primary point of contact for executive leadership by triaging inquiries, responding to routine matters, and escalating sensitive issues as appropriate. Coordinate executive meetings, leadership retreats, committee meetings, and high-profile events, including logistics, agendas, materials, technology, and follow-up. Maintain confidential records, action-item tracking systems, and executive files while monitoring deadlines and ensuring timely completion of priorities. Coordinate executive travel, purchasing, invoices, reimbursements, and other administrative processes in accordance with University policies. Build collaborative relationships with faculty, staff, students, University leadership, healthcare partners, and external stakeholders while representing the Dean's Office professionally. Support governance activities, strategic initiatives, special projects, and other operational priorities as assigned. Provide cross-coverage for executive office functions to ensure continuity of operations. Preferred Qualifications Experience supporting executive leadership in higher education, academic medicine, healthcare administration, or another complex organization. Knowledge of University of Missouri administrative systems, policies, and procedures. Experience coordinating executive meetings, governance activities, travel, purchasing, and expense processing. Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and Adobe Acrobat. ________________________________________ Knowledge, Skills, And Abilities Exceptional organizational, time management, and project coordination skills. Strong written, verbal, and interpersonal communication skills. Ability to exercise sound judgment, maintain confidentiality, and manage sensitive information. Demonstrated ability to independently prioritize work and manage multiple competing priorities. Strong customer service and relationship-building skills. Ability to anticipate executive needs, solve problems proactively, and adapt to changing priorities. Ability to work independently while collaborating effectively across departments and leadership teams.
