Executive Assistant
CGI is seeking a highly organized, proactive, and resourceful Executive Assistant to support the Senior Vice President (SVP) and Business Unit (BU) Leader. This role requires exceptional communication skills, the ability to manage competing priorities, and a strong willingness to learn and understand our business operations. The successful candidate will thrive in a fast-paced, collaborative environment, demonstrating initiative and a commitment to excellence. Some travel is required to support internal events. This position is located in our Fairfax, VA office; however, a hybrid working model is acceptable. CGI will consider candidates local to the Northern Virginia/DC region.
Responsibilities
- Administrative Support
- Proactively manage complex calendars, schedule meetings, and prioritize appointments to maximize time management and productivity.
- Coordinate domestic and some international travel arrangements, including flights, accommodations, itineraries, office bookings, and logistics.
- Prepare and proactively manage expense report submissions.
- Prepare and edit correspondence, meeting minutes, reports, presentations, and other business documents.
- Office Manager
- Oversee office operations including supplies, equipment, space planning, and vendor relationships.
- Act as the primary point of contact for facility management, local IT support coordination, and general office inquiries.
- Ensure the office environment is organized, professional, and supports a productive work culture.
- Coordinate meetings, onsite events, catering, and visitor logistics.
- Assist with onboarding logistics for new hires in the BU office including desk setup, access credentials, and welcome materials.
- Event and Meeting Coordination
- Support the planning and coordination of internal meetings, leadership summits, and events, ensuring all logistics run smoothly.
- Conduct research and compile data to support decision-making and planning.
- Serve as a liaison between the executive and key stakeholders, maintaining professionalism and confidentiality.
- Operational Duties
- Develop an understanding of the organization's operations, goals, and strategic direction to anticipate needs effectively.
- Coordinate with other Strategic Business Units and Business Units to ensure seamless communication and collaboration.
- Oversee and manage special projects on an as-needed basis.
Requirements
- Education: Bachelor's degree preferred but not required.
- Experience: Minimum 2-5 years of experience supporting senior executives in a similar capacity.
- Must work at CGI's Fairfax, VA office at least three days a week, with flexibility for additional in-office time if business needs arise.
- Professional discretion and ability to maintain confidentiality is critical to this role.
- Excellent verbal and written communication skills, with attention to detail.
- Highly organized and capable of managing multiple priorities while adapting to evolving business needs in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other collaboration tools.
- A natural curiosity and bias toward learning CGI's business operations to enhance support and efficiency.
- Proven problem-solving and decision-making abilities.

Pay
A reasonable estimate of the current range for this role in the U.S. is $62,900.00 - $136,200.00.
Schedule
This position requires working at CGI's Fairfax, VA office at least three days a week, with a hybrid working model acceptable. Flexibility for additional in-office time may be required based on business needs.
