As an Executive Administrative Assistant, you will collaborate in a team environment, represent your team with professionalism, and deliver flawless work. Daily interactions with executive-level internal clients across business lines will be part of your routine. Adaptability to procedures, processes, and techniques is essential to align with team and office goals. Strong communication skills, attention to detail, high energy, and flexibility are key to succeeding in this fast-paced, deadline-driven environment with high-net-worth clients.

Responsibilities

  • Serve as the first point of contact for all visitors, including managing the Client Center.
  • Maintain complex and detailed calendars while adhering to client confidentiality regulations.
  • Handle heavy call volumes from external clients and internal colleagues/management.
  • Organize all aspects of offsite conferences and external events, including catering and transportation.
  • Manage coordination and logistics of internal and external meetings and events (e.g., meeting room reservations, event organization/follow-up, RSVP tracking, ticket allocation).
  • Arrange and coordinate complex domestic travel (air, hotel, and ground accommodations).
  • Process invoices, T&E expense claims, and sponsorship requests for assigned team members, ensuring policy compliance.
  • Act as a subject matter expert for policies and procedures.
  • Assist with staff on-boarding and off-boarding, including equipment setup and system access.
  • Produce high-quality emails and messages for individuals at all organizational levels.
  • Maintain current organizational charts and executive bios.
  • Assist in editing spreadsheets and presentations, including printing and binding for client meetings.
  • Collaborate efficiently with fellow assistants to support each other and share office-wide tasks.

Requirements

  • At least five years of administrative experience supporting at the Managing Director level (or equivalent) or above.
  • Advanced organizational skills.
  • Discretion and good judgment in confidential situations, with proven experience interacting with senior management.
  • Strong interpersonal, written, and oral communication skills.
  • Ability to multi-task and prioritize effectively.
  • Strong proficiency in Microsoft Office and Concur.
  • Excellent telephone etiquette and ability to manage competing priorities, such as calendar management.
  • Excellent written and oral communication with external clients and internal colleagues.

Preferred Qualifications

  • College degree is a plus.

Schedule

This role requires five days in the office (Monday through Friday) and does not support hybrid options.
