ADM is looking for an Executive Administrative Assistant with growth potential within the Department of State Overseas Operations to work in Roslyn, VA. About the role
The Executive Administrative Assistant (EAA) performs a variety of clerical, administrative, and program tasks in support of DS/IP/OPO. This role offers the opportunity to grow with the organization and advance in your career.
Responsibilities
- Provide day-to-day administrative and clerical support for the Office Director, including typing documents such as memoranda, letters, and cables.
- Maintain control records on incoming correspondence and action documents.
- Distribute incoming/outgoing mail, answer telephone calls, and manage the Office Director’s calendar for appointments, meetings, and conferences.
- Coordinate and track correspondence to and from the Office Director, including taskers and official memoranda.
- Oversee administrative services, processes, and procedures for three divisions within OPO, ensuring adherence to DOS standards.
- Monitor and coordinate the flow of information between DS/IP/OPO senior management and the three divisions.
- Train administrative services personnel and assist in developing administrative processes and procedures.
- Perform other duties and complete special projects as assigned by the Office Director.
Requirements
- Willingness to learn and grow with the organization.
- Bachelor’s Degree OR four years of experience, with at least two years supporting the Foreign Service (State Department) as an administrative assistant for Foreign Service Officers or Senior Foreign Service Officers, plus an additional four years of general administrative, secretarial, or clerical experience.
- Excellent written and verbal communication skills, with the ability to interface effectively with senior officials.
- Capability to provide guidance, operational direction, and coordination of administrative efforts for office personnel in three divisions.
- Strong organizational planning skills and initiative.
- High proficiency in Microsoft Office (Word, Outlook, PowerPoint, Access, and Excel).
- Strong writing, proofreading, and editorial skills.
- Experience with administrative/clerical processes and procedures, including travel, training, payroll, supplies, briefings, reports, files management, dissemination of classified information, and preparing correspondence.
- Familiarity with foreign affairs agencies.
- Willingness to travel overseas up to 10 percent of the time, with no impediments to travel to countries considered dangerous or unhealthy.
- Must possess a Secret clearance.

Pay
Pay range: $46.00 per hour, plus $4.23 health and welfare.
