About the Role

Under general supervision, this full-time position performs complex and technical duties in support of official student recordkeeping related to admissions. Responsibilities include complex data entry, tracking, reporting, resolving student enrollment issues, and managing application and enrollment processes for nonstandard programs. The role also provides lead-level direction to lower-level Admissions and Records employees and coordinates front office processes and projects.

Responsibilities

  • Manage day-to-day operations including online applications, processing applicant materials, issuing admissions decisions, deferrals, cancellations, reactivations, and related processes.
  • Serve as lead technical resource for Admissions & Records, coordinating back office operations and database processes.
  • Maintain efficient departmental workflow and accurate data processing.
  • Process student name requests and update demographic information.
  • Interact with databases to ensure confidentiality and accuracy of stored data.
  • Process decision letters and transfer credit communication.
  • Manage the application operations process from creation to decision notification.
  • Address data analytics and reporting needs throughout the admissions cycle, including creating and maintaining weekly enrollment reports.
  • Perform data entry and student record maintenance using Jenzabar-J1 (student information system) and Salesforce-JRM (CRM system).
  • Receive and process application materials, including essays, resumes, and transcripts from high schools and colleges.
  • Serve as budget manager for the Office of Enrollment Services, reconciling monthly credit card statements and tracking expenses.
  • Coordinate special arrangements for campus events led by Enrollment Services.
  • Provide excellent customer service to guests and prospective students.
  • Staff and organize the Enrollment Services Welcome Desk and front office as needed.
  • Answer and route front office phone and email inquiries.
  • Handle special projects and temporary duties as assigned.
  • Work occasional night and weekend hours to assist with recruitment events.

Requirements

  • Associate Degree required, or a combination of education and experience from which comparable knowledge and skills are acquired. Bachelor’s degree preferred.
  • At least 3-5 years of administrative support experience.

  • Strong organizational skills and high attention to detail.
  • Expertise in Microsoft Office software (Word, PowerPoint, Excel, Outlook).
  • Excellent communication, interpersonal, and customer service skills.
  • Critical thinking and ability to work on multiple projects simultaneously.
  • Ability to work independently or as part of a team with minimal supervision.
  • Proficiency in learning new computer software quickly.
  • Skilled in information technology, including computers, voicemail, email, fax, and internet.
  • High level of confidentiality and discretion in handling proprietary and sensitive data.
