Enrollment Manger

About the Role

As the Enrollment Manager, you will work closely with the Director of Admissions to oversee enrollment management functions, including recruitment, retention, admissions coordination, and data compilation. This mid-level management position plays a key role in admissions recruitment, counseling, outreach, and application review, while assisting in the supervision of department staff and procedures for both online and on-ground enrollment, particularly for international students.

You will collaborate with Deans and faculty to provide program information to prospective students and support the implementation of Westcliff University’s strategies, plans, and programs related to student admissions. This position reports directly to the Director of Admissions and requires flexibility, including occasional weekend work.

Responsibilities

• Retrieve reports with various metrics as needed by higher management.
• Oversee the department’s performance against departmental targets.
• Ensure quality control of the department’s day-to-day operations.
• Audit and finalize student files for acceptance, denial, and registration.
• Manage and develop advisors within the department.
• Conduct and deliver performance evaluations for advisors.
• Reflect and promote the mission and vision of the University.
• Evaluate and develop admissions programs to maintain enrollment of qualified students and a pipeline of qualified applicants.
• Direct the admissions process from inquiry through enrollment, including handling applications, communication with candidates, campus tours, interviews, admission testing, and final decision notifications.
• Present the university to prospective students through outreach and recruitment efforts.
• Provide vision, leadership, and ongoing training for the admissions team.
• Lead a team of admissions and senior admissions advisors to support students in their admissions process, including:
  • Motivating and providing weekly support to the team.
  • Monitoring and tracking admissions activities.
  • Analyzing and tracking student retention.
  • Resolving difficult admissions issues.
  • Developing and maintaining strong, productive team dynamics.
• Proactively respond to high-level admissions situations and provide actionable solutions to admissions leaders.
• Support the Director of Admissions in analyzing daily prospect/applicant reports, setting conversion goals, and monitoring advisor progress with accountability.
• Assist in recruitment activities and make presentations at on- and off-campus meetings and events to support the domestic admissions team.
• Identify risks within the department and discuss risk reduction options with your supervisor.
• Ensure all representatives stay current on sales processes and maintain scheduled return call frequencies.
• Ensure adherence to best practices in ethical advertising and sales processes.
• Attend departmental meetings, graduation ceremonies, and other university meetings or events as required.
• Foster an educational environment that promotes learning, respect, integrity, teamwork, and professionalism.
• Adhere to accrediting, federal, and state agency requirements, as well as university policies and procedures.
• Develop criteria for evaluating training effectiveness, monitor results, and report findings to the Director of Admissions with recommendations for improvement.
• Design, develop, update, and deliver professional-quality presentations and training materials, including classroom trainings and job aids.
• Assist the Director of Admissions with coaching opportunities for junior staff.
• Support junior staff’s progress and development through an evaluation and proficiency assessment process aligned with company performance standards.
