Job Summary
The Emergency Services Administrator supports the administrative activities of the Emergency Services Department. This position assists with internal communications and customer interactions.
Key Responsibilities
- Maintains documentation from Emergency Response Coordinator (ERC) qualifying leads and assists in handing off supporting details to the ERC.
- Coordinates and schedules calls with potential clients via phone or email, providing customers with information on applicable services.
- Aids the Emergency Services Specialist in preparing and generating sales reports from draft outlines.
- Identifies emergency events through use of web-based tools and ESD technology.
- Collaborates with the ESD team and other RMC employees to disseminate findings from web-based and ESD tools.
- Maintains knowledge of departments' services and operations through company training, department meetings, and research.
- Responds promptly to internal and external inquiries, providing responses or directing to appropriate team member.
- Tracks and monitors department training (rosters, communications, etc.) in support of DNS goals.
Experience/Requirements
- High school diploma or equivalent.
- Experience in providing administrative support to a service team, preferably in mitigation or construction industry.
- Excellent communication skills (written and verbal).
- Thorough knowledge of MSOffice (Outlook, Excel and Word).
- Service-minded with excellent customer relations background.
- Detailed, thorough, accurate proofreading skills.
- Excellent organization skills.
- Multi-tasker with ability to meet tight deadlines.
- Works well under general direction, enjoys a team environment.
Safety Requirements
- Adhere to all local, state, and federal safety regulations, including OSHA and EPA standards.
- Required PPE may include gloves, masks, goggles, hard hats, and safety footwear.
- Practice ergonomic principles to prevent musculoskeletal disorders.
- Complete all mandatory safety training sessions, including but not limited to hazard communication, emergency response, and safe equipment handling.
- Report any unsafe conditions, hazards, incidents, or injuries to supervisors without fear of retaliation.
- Familiarize yourself with emergency procedures relevant to your specific job site.
Physical Requirements
- Lifting and Carrying: Ability to lift and carry materials or equipment weighing up to 25 lbs. regularly and up to 50 lbs. with assistance.
- Physical Activities: Ability to perform tasks that require walking, bending, reaching, crouching, kneeling, climbing, squatting, crawling, lifting above shoulder, reaching, twisting, sitting, standing, continuous repetitive motion, tasks involving L/R hand movement (computer/mouse), wrists, or arms (e.g., typing, data entry).
- Machinery Operation: Capacity to operate machinery and tools as required by job tasks, which may involve fine motor skills and hand-eye coordination.
- Visual Ability: Requirement for clear vision (e.g., close work, computer use, eye coordination).
- Office Environment: Indoor office setting for corporate roles, including working with standard office equipment (computers, phones, printers).
- Field Environment: Outdoor fieldwork at restoration sites, which may include residential, commercial, or industrial properties. Duties may involve exposure to different weather conditions (sun, rain, snow, heat).
- Hazardous Environments: Potential exposure to hazardous materials, chemicals, or contaminants specific to restoration work, requiring strict adherence to safety protocols and use of PPE.
- Working Conditions: Work after hours and weekends given our 24/7 business operations.
- Travel Requirements: May include travel to and from job sites, requiring the use of company vehicles. Possibility of attending out-of-town training or conferences.
