About the role

i2G Systems specializes in advanced physical electronic security and life safety solutions, including surveillance, access control, intrusion detection systems, biometrics, fence sensors, radars, ground sensors, and anti-drone technologies. The Operations Coordinator supports the Field Operations Manager and Project Managers by coordinating project functions from award to completion, focusing on project execution prior to mobilization.

Responsibilities

  • Coordinate meetings, track assigned tasks, set deadlines, and monitor project status reports.
  • Ensure Project Managers’ reports for leadership regarding weekly project status are complete and accurate.
  • Assist with scheduling resources based on project needs.
  • Conduct SharePoint and SimPro audits to ensure processes are followed, if time permits.
  • Provide feedback on established processes to improve tracking and execution.
  • Maintain accurate records, scheduling, and timekeeping.
  • Assist the Field Operations Manager with daily tasks, including administrative matters, event planning, liaison participation, and project walks.
  • Support BMO quote generation, site survey, and sub pricing.
  • Verify pending projects are ready for project kickoff meetings and engage resources for these meetings.
  • Schedule internal kickoff meetings with PM, Ops, Engineering, and Sales; ensure tasks are assigned and input into tracking software.
  • Update project notes with critical items from the kickoff checklist.
  • Coordinate post-award site surveys and customer kickoffs with the Project Manager as needed.
  • Drive engineering, PM, Purchaser, and other assigned tasks to completion; escalate past-due items to Operations management.
  • Assist with ODC items such as rentals.
  • Validate material completion or partial receipt for early mobilization.
  • Assist PM in coordinating mobilizations (work with site, subcontractor, ODC provider, etc.).
  • Confirm readiness of all resources one week prior to mobilization and hand over task tracking to PM upon mobilization.
  • Assist PM with customer kickoff.
  • Support the change order process as needed (coordinate and drive engineering, subs, etc.).
  • Check on deliverables that the PM is responsible for and drive them to completion.
  • Confirm labor is properly assigned to jobs (audit function).
  • Remind PMs of billing milestones and monthly billing updates.
  • Drive project closeout tasks, ensuring PMs are closing out projects and documenting the process.
  • Ensure final billing is complete and encompasses all change orders.
  • Compile lessons learned from all PMs and assist Operations in preparing responses.
  • Provide support to Business Development, Sales, and other departments as needed, with guidance from Operations management.
  • Perform other duties as required by the company.
