Electronic Security Operations Coordinator

About the role

i2G Systems specializes in advanced physical electronic security and life safety solutions, including surveillance, access control, intrusion detection systems, biometrics, fence sensors, radars, ground sensors, and anti-drone technologies. The Operations Coordinator supports the Field Operations Manager and Project Managers by coordinating project functions from award to completion, ensuring smooth project execution prior to mobilization.

This dynamic role requires a self-starter who thrives on tackling challenges and driving results. The Operations Coordinator assists with scheduling, task tracking, resource management, and process improvement, while maintaining accurate records and supporting daily operational tasks.

Responsibilities

  • Support BMO quote generation, site surveys, and subcontractor pricing.
  • Review BMO quotes and verify pending projects are ready for kickoff meetings.
  • Engage resources for kickoff meetings and schedule internal kickoffs with PM, Ops, Engineering, and Sales.
  • Update project notes with critical items from kickoff checklists and coordinate post-award site surveys/customer kickoffs as needed.
  • Drive engineering, PM, Purchaser, and assigned tasks to completion; escalate past-due items to Operations management.
  • Assist with ODC items such as rentals and validate material completion or partial receipt for early mobilization.
  • Coordinate mobilizations (work with site, subcontractor, ODC provider, etc.) and confirm readiness of all resources 1 week prior.
  • Hand over task tracking to PM upon mobilization and assist with customer kickoff.
  • Support the change order process (coordinate engineering, subs, etc.) and ensure PM deliverables are completed.
  • Audit labor assignments to jobs and remind PMs of billing milestones and monthly updates.
  • Drive project closeout tasks, ensuring PMs document and finalize billing, including change orders.
  • Compile lessons learned from PMs and assist Operations in preparing responses.
  • Provide support to Business Development, Sales, and other departments as needed.
  • Perform other tasks as required by the company.

Requirements

  • Proficiency in Microsoft Office applications (Outlook, Word, Excel).
  • Ability to creatively solve uncommon application challenges.
  • Strong organizational, time management, and attention to detail.
  • Effective verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Customer-focused with a commitment to client satisfaction.
  • Experience working independently and in a team atmosphere.
