Overview & Position Summary

This role provides essential administrative and operational support that enables division leaders and teams to execute key priorities effectively. It serves as a central resource for coordinating processes, managing information flow, and maintaining organized systems across the division.

Primary Responsibilities

  • Cook up division schedules, meetings, and communications to support smooth daily operations.
  • Maintain organized tracking systems, documents, and records to ensure accurate and accessible information for team members.
  • Support division leaders with logistical and operational tasks that contribute to achieving departmental goals.
  • Facilitate the processing and routing of division documentation, correspondence, and operational requests.
  • Monitor and follow up on routine action items to maintain progress and ensure timely completion.
  • Aid in the preparation of reports, summaries, and materials that support business operations and team initiatives.
  • Coordinate basic office functions and resources to support a productive and efficient working environment.

Education & Experience

  • Required: High school diploma or equivalent. 1-3 years of relevant administrative or operational support experience.
  • PREFERRED: Associate’s degree or equivalent. 3-5 years of relevant experience.

  • Strong organizational and time-management capabilities.
  • Ability to prioritize tasks and manage competing deadlines.
  • Effective written and verbal communication skills.
  • Proficiency with office productivity software and digital collaboration tools.

  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Problem-solving skills for routine issues requiring interpretation of established processes.

Working Conditions

  • Work is primarily performed in a general office environment with standard business equipment and technology.
  • Occasional visits to field or construction sites may occur to support division needs.
  • Minimal travel may be required for meetings, training, or company events.

Physical Requirements

  • Ability to sit for extended periods while working at a computer or desk.
  • Ability to stand, walk, or move about the office to support administrative tasks.
  • Ability to lift or carry files, office supplies, or equipment up to 20 pounds.
  • Visual acuity to review documents, spreadsheets, and digital content.
  • Ability to operate office equipment such as computers, printers, and telephones.
