The Typical Day
- Cook up and support key deliverables to ensure goals or objectives are accomplished within defined timelines.
- Manage the corporate credit card(s) for the Division and conduct monthly credit card reconciliations.
- Support Division meetings by scheduling, soliciting input, developing agendas, creating presentation materials, facilitating meetings, and following up on items.
- Assist with recruiting by performing initial resume screening, conducting phone screenings, and coordinating interview panels.
- Aid the contracting team by managing contract owner communications, completing administrative tasks, and overseeing Docusign, financial system approvals, and other administrative support.
- Support project management by tracking deliverables, scheduling meetings, and coordinating efforts.
- Leverage NEEA tools and systems such as NEEAforce (Salesforce), HubSpot, Asana, Workday, and SharePoint to support Division objectives.
- Support the contracting process by tracking progress, identifying and resolving bottlenecks, posting requests for proposals and qualifications, and providing other administrative support.
- Support Division communications, processes, projects, and reporting needs as requested.
- Provide general administrative support for Division staff, including calendar management, meeting support, office supply inventory, document posting, conference coordination, and travel coordination.
- May provide secondary support for facilities and events as needed.
- Exercise discretion in managing correspondence and information, escalating issues where necessary.
