Job Summary

The Design Business Specialist assists the design department's management staff with day-to-day operational and administrative tasks, including task management coordination with other departments, change orders, and additional service requests. This role also drives interpersonal synergy between neighboring departments to keep projects moving forward.

Key Responsibilities

  • File Management
    • Track files and create job folders for future project work.
    • Document and categorize email threads and conversations for historical context.
    • Field inquiries for project models, CAD, or Revit backgrounds.
    • File and annotate meeting minutes from design coordination.
  • Design Oversight
    • Provide administrative support, tracking and following up on change orders and additional service requests.
    • Track and assist with submitted RFIs to maintain project scheduling.
    • Collaborate with other departments to maintain project scheduling by providing requested information.
  • Graphic Design
    • Afford assistance in illustrating standard operating procedures for internal office education.
    • Update and improve company databases for engineering department use.
    • Propose creative ways to communicate information for personnel onboarding into company processes.
  • Quality Assurance
    • Implement quality control processes to ensure accuracy and completeness of design documents.
    • Continuously improve departmental processes and procedures.
    • Identify opportunities for additional services and upselling to clients.
  • Task Management / Assist Upper Management
    • Implement systems to track and manage the status of drawings and other side work.
    • Conduct regular check-ins with team members to review task assignments and address obstacles.
    • Identify opportunities for process improvements to streamline workflow and increase efficiency.

Qualifications

  • Education & Experience
    • High school diploma or equivalent required; associate degree in design, drafting, or related field required.
    • Previous experience in an administrative or project-coordination role preferred.
    • Bachelor’s Degree in related field is a plus.
  • Technical Skills
    • Familiarity with Microsoft Office (Outlook, Word, Excel).
    • Working knowledge of CAD/Revit file structures preferred.
    • Ability to learn internal databases and file-tracking systems.
  • Soft Skills
    • Strong attention to detail and commitment to accuracy.
    • Excellent organizational and time-management skills.
    • Ability to manage multiple competing priorities in a deadline-driven environment.
    • Strong communication skills and willingness to collaborate across departments.
    • Self-motivated with a proactive approach to problem-solving.

Qualifications
