About the role
The Fourth Judicial District Court is recruiting for a Court Services Specialist #10117086-23400 in Mora, NM.
General Statement of Duties
Acting under general supervision, perform a variety of court security duties, as well as, administrative and clerical duties, provide technical and courtroom assistance, and work with inventory and equipment.
Examples of Job Duties
- Plan, organize, coordinate project and security activities, and office functions.
- Prepare, draft, proofread, edit, and disseminate documents and correspondence including pleadings.
- Docket and enter case data and process into the case management system.
- Maintain a docket or calendar and prepare reports, mail, fax, or documents such as notices, motions, opinions, orders, records, pleadings, memorandum in opposition, and case materials.
- Provide meeting support including setting up information technology / audio / visual equipment, troubleshooting problems, and coordinating location.
- Ensure accurate court fees are paid and recorded and ensure daily cash receipts are balanced and reconciled.
- Receive and track receipts, prepare bank deposits, and file receipt of fees in appropriate case files.
- Provide public case information to parties, attorneys, law enforcement agencies, and other outside agencies.
- Operate security and/or metal detecting equipment at entrance to courthouse or courtroom.
- Inspect people and packages entering and leaving the building.
- Give instructions to customers related to public access terminals, microfiche, reader machines, the website, and general information to pro se litigants without giving legal advice.
- Serve as information systems site coordinator or backup to site coordinator and provide technical support.
- Provide information, feedback, and input to internal and external parties.
- Operate and troubleshoot electronics such as television, video, projector, and audio equipment.
- Serve as a court monitor, and provide courtroom assistance.
- Assist with inventory and coordinate and assist with records management.
- Provide jury support and assist with jury management.
- Ensure proper behavior in the courtroom for all proceedings, provide customer service, and assist Judge, jurors, and other parties as needed.
- Set up and take care of the courtroom during proceedings.
- Coordinate with law enforcement agencies on the transportation of inmates to and from the courthouse and/or courtroom.
- Work with attorneys who may need special equipment for a hearing.
- Assist in assembling potential jurors and instructing jurors on processes.
- Ensure all parties are present for each hearing.
- Assist in the document flow from the Judge to the attorney’s and / or pro se parties.
- Announce Judge’s entrance into and departure from the courtroom and ensure proper decorum is maintained in the courtroom.
- Assist with vehicle fleet maintenance.
- Provide meeting support including setting up information technology / audio / visual equipment, troubleshooting problems, and coordinating location.
- Provide feedback and concurrent information to internal and external parties.
- Assist with the maintenance of inventory housed and released from the evidence section at the direction of the District Court Clerk Manager.
- May be assigned supervisory duties under the mentorship of a supervisor or manager.
- Provide direction and assistance to subordinate staff.
- Other duties as assigned.
Competencies/Qualifications
- Knowledge of general office functions, cash handling procedures; project management techniques; data collection methods; research methodology; general organizational structure of the judiciary; court monitoring procedures and equipment; and knowledge of Specialty Court Programs.
Qualifications
Minimum Qualifications
- A high school diploma or GED.
Experience
- Three (3) years of experience in an administrative, clerical, or related field such as computers, data processing, and cash handling.
- Additional post-secondary education in a related field may substitute for up to one (1) year of experience. Thirty (30) semester hours equals one (1) year of experience.
Certification
- May be requested to complete the New Mexico Court Monitor Certification Examination.
