About the role

The Marion County Circuit Court in Salem, Oregon, is hiring a Judicial Support/Judicial Assistant (Court Operations Specialist) for the Honorable Amy M. Queen. In this role, you will provide administrative support to a judge.

Responsibilities

  • Process mail, screen calls, greet visitors, answer routine questions, and coordinate case activities with judges, court staff, attorneys, and litigants.
  • Set priorities and recommend next steps for non-routine issues.
  • Maintain the judge’s schedule and calendars.
  • Prepare correspondence, memoranda, reports, and other legal documents.
  • Prepare lists, statistics, and reports related to caseloads.
  • Operate the recording equipment, complete forms, update court calendars, and maintain accurate logs of court proceedings.
  • Perform real-time data entry during trials and hearings and prepare notices, orders, and other legal documents.
  • Process exhibits, oversee jurors, and ensure the security of the courtroom.

Requirements

  • A high school diploma or equivalent.
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting.

Qualifications

  • Experience entering data in real time within a fast-paced environment.
  • Experience screening communications, prioritizing issues, and anticipating next steps.
  • Experience coordinating schedules and managing complex calendars.
  • Experience communicating on behalf of a supervisor or leader, ensuring both accuracy and appropriate tone.
  • Experience identifying and safeguarding confidential information and materials.

Skills

  • Experience entering data in real time within a fast-paced environment such as a court system or other legal setting while maintaining strict deadlines despite distractions and frequent interruptions.
  • Experience screening communications, prioritizing issues, and anticipating next steps.
  • Experience coordinating schedules and managing complex calendars.
  • Experience communicating on behalf of a supervisor or leader, ensuring both accuracy and appropriate tone.
  • Experience identifying and safeguarding confidential information and materials.

Pay

The salary range, identified in the job announcement, is for a new hire who is not yet a member of the Public Employees Retirement System (PERS). After becoming a member of PERS (usually after six full calendar months of employment), the required 6% employee retirement contribution will be deducted from your pay, and your salary will be increased by 6.95% to help offset that and other cost increases (such as Medicare, Social Security, state taxes, and federal taxes).

Schedule

This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek. Occasional after-hours or overtime work may be required.
