About the Role

The Clackamas County Circuit Court is hiring a Judicial Assistant for the Honorable Jeffrey Jones (Court Operations Specialist). In this role, you will support the judge by performing data entry, updating information within the case management system, and reviewing complex files to determine next steps. You will compose letters, prepare correspondence and legal documents, and review content for accuracy, completeness, and grammar. You will schedule court dockets and appearances, manage the judge's calendars, make travel arrangements, reserve meeting rooms, and arrange for court interpreters. You will also gather information, conduct limited research, and create formal presentation materials.

Responsibilities

  • Prepare the courtroom for the day's proceedings
  • When court is in session, operate electronic and digital recording equipment, keep a log of events, perform real-time data entry, prepare a variety of forms and judgments, and provide technical assistance
  • Support pro se litigants and respond to complaints and requests for information from attorneys, litigants, agencies, and the public
  • Train and mentor new staff and provide coverage during absences as needed
  • Participate in statewide, OJD-wide, and local committee meetings, during which you will recommend improvements to court processes and procedures and act as a local OJD liaison

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

These must be evident in your resume or work history.

  • High school diploma or equivalent
  • Four (4) years of responsible administrative experience in a moderately complex office or business setting demonstrating the knowledge, skills and abilities needed for the position
  • OR any combination of education and experience equivalent to four (4) years of experience that typically supports the knowledge, skills, and abilities for the position

  • Experience using a computer and different software programs to accomplish a variety of tasks that involve data entry, looking up accounts or cases, scheduling events in electronic calendars, and updating information

  • Skill in writing and reviewing documents for accuracy, completeness, and grammar
  • Experience explaining processes, procedures, or policies
  • Experience working with community partners
  • Experience handling sensitive and confidential information

Working Conditions

  • Full-time position with a work schedule of 8:00 a.m. to 5:00 p.m. Monday through Friday
  • Eligible for overtime compensation for hours worked in excess of 40 per workweek
  • Occasional after-hours or overtime work may be required
  • Occasional travel may be required to attend committee meetings and training sessions
  • Judicial Assistants often work under statutory or policy deadlines and occasionally work in very high-volume, fast-paced environments
  • Frequent phone and in-person contact with people from diverse backgrounds
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma. Being involved in courtroom matters, the Judicial Assistant is frequently involved with defendants who may have committed serious crimes and with litigants who may be under extreme emotional distress
  • Regular use of the following equipment: digital/electronic recording equipment, telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner

Pay and Benefits

  • Annual salary: $57,183 - $88,708.80 (hourly equivalent of $27.49 - $42.65)
  • OJD pays 95% to 99% of medical insurance premiums for full-time employees, including mental health coverage
  • 10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation paid leaves (prorated for part-time employees), and other employee benefits such as optional insurances and flexible spending plans
  • 5% allowance for bilingual skills (includes ASL) if you can pass a skills test and are assigned to use those skills on the job
  • Candidates new to OJD are offered up to the fourth step of the salary range, depending on experience, with potential eligibility for a 5% annual increase
  • OJD is an eligible employer for the Public Service Loan Forgiveness program
