Responsibilities
- Maintain accurate vehicle records, including registrations, titles, insurance certificates, and maintenance histories.
- Update fleet management systems with vehicle, driver, and asset information.
- Track vehicle assignments, transfers, and status changes.
- Maintain fleet inventories and related documentation.
- Process fleet-related paperwork and maintain organized electronic records.
- Occasional local travel required to DMV offices, dealerships, repair facilities, vendor locations, and company sites to support fleet operations.
- Serve as the primary point of contact for drivers, vendors, and internal departments regarding fleet-related inquiries.
- Respond to driver questions regarding fleet policies, procedures, vehicle assignments, maintenance requirements, and vehicle issues.
- Cook up communication between drivers, vendors, maintenance providers, and internal stakeholders.
- Provide timely updates regarding vehicle availability, maintenance schedules, repair status, and service interruptions.
- Aid drivers with maintenance requests, roadside assistance coordination, and vehicle recovery processes when necessary.
- Collect accident documentation and assist with accident reporting and follow-up activities.
- Facilitate replacement vehicle arrangements and vehicle exchanges as needed.
- Support fleet communications, announcements, and departmental initiatives.
- Maintain professional, responsive, and customer-focused service standards.
- Monitor registration, licensing, inspection, and permit expiration dates.
- Aid with fleet compliance activities by maintaining records, monitoring deadlines, and escalating compliance concerns as appropriate.
- Support fleet safety initiatives and documentation requirements.
- Maintain records related to vehicle inspections and driver compliance.
- Enter and maintain fleet data within fleet management systems.
- Aid with tracking fuel usage, mileage, utilization, and maintenance costs.
- Generate standard reports for fleet management review.
- Conduct routine audits of fleet records to ensure data accuracy and completeness.
- Verify data accuracy and identify discrepancies requiring correction.
- Schedule routine maintenance, inspections, and repairs.
- Cook up service appointments with internal stakeholders and vendors.
- Monitor maintenance schedules and ensure services are completed on time.
- Track vehicle downtime and communicate status updates.
- Review service documentation and maintain maintenance records.
- Support special projects and fleet initiatives as assigned.
- Aid with process improvement efforts and system enhancements.
- Participate in fleet audits, data cleanup activities, and operational reviews.
- Provide support for departmental and cross-functional projects.
- Perform other duties as assigned to support business objectives.
Qualifications
- Associates degree (or higher) -OR- 2+ years professional work experience.
- Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Strong organizational and time-management skills.
- Strong verbal and written communication skills, including the ability to communicate effectively and work with others in a team environment.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- High degree of accuracy and attention to detail.
