Job Description

Fenwick is seeking a Client Accounting Specialist to manage the financial aspects of assigned partners' client portfolios. This role involves setting up client and matter details, ensuring compliance with engagement letters and billing guidelines, and producing and distributing client invoices. The position offers a hybrid work arrangement and a flexible 40-hour workweek.

Responsibilities

  • Client and Matter set up (rates, discounts, invoice formats, deferrals)
  • Maintain documentation of non-standard billing requirements
  • Update Client and Matter Billing Instructions in Aderant database
  • Monitor work in progress for billing accuracy
  • Produce and review prebills, coordinate with secretarial team
  • Audit edits for correctness and special billing requirements
  • Ensure timely mailing/delivery of client invoices
  • Manage attorney and client deadlines, estimate billing dates
  • Discuss new clients and matters with billing attorneys
  • Resolve client disputes and suggest collection strategies
  • Manage accounts receivable balances, escalate delinquent balances
  • Follow up on aged billings, payments, and promises to pay
  • Develop and implement collection strategies
  • Research and resolve misapplied payments, maintain ARCS categories
  • Prepare write-off/write-down requests, ensure proper approvals
  • Assist with billing and collections inquiries
  • Maintain client files and correspondence
  • Monitor billing hotline and time correction DTE alias
  • Share system process enhancement ideas
  • Propose client support enhancement ideas
  • Utilize LinkedIn Learning for skill development

Qualifications

  • 5+ years of legal billing experience with automated systems
  • Experience with Aderant Expert (previously CMS) and/or automated accounting systems
  • Strong attention to detail and organizational skills
  • Ability to communicate effectively with attorneys, staff, and clients
  • Proficiency in Microsoft Office (Excel, Word, Outlook)

Benefits and Compensation

The anticipated range for this position is $76,000 - $107,500, depending on the role. A discretionary bonus for eligible employees may also be available based on performance. Additional information about benefits and bonuses will be provided upon request.
