Business Operations & Executive Support Coordinator
Position Summary
The Business Operations & Executive Support Coordinator provides operational, administrative, and project support to the Commercial team, helping drive efficiency, organization, and execution across sales, marketing, and technical services.
Key Responsibilities
- Coordinate and support day-to-day operations for the Commercial organization
- Prepare and maintain reports, dashboards, and performance metrics to support business decision-making
- Collect, organize, and validate sales, operational, and business data
- Develop professional presentations, meeting materials, and executive communications
- Schedule and coordinate meetings, including agendas, meeting notes, and follow-up actions
- Track project timelines, milestones, and deliverables to ensure timely completion
- Auxiliary cross-functional initiatives involving Sales, Marketing, and Technical Services
- Aid in planning and execution of sales meetings, customer events, trade shows, and other commercial activities
- Coverage of distribution of marketing and promotional materials as needed
- Identification of opportunities to improve processes, reporting, and operational efficiency
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent required
- Associates or Bachelor’s degree in Business, Marketing, Communications, or a related field preferred
- 3+ years of experience in commercial operations, business operations, project coordination, executive support, sales support, or a related role
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Proficiency in Microsoft Office, including Excel, PowerPoint, and Outlook
- Strong analytical, problem-solving, and critical-thinking skills
- Excellent verbal and written communication skills
- High attention to detail and accuracy
- Ability to work independently while effectively collaborating across teams
- Professionalism, discretion, and the ability to handle confidential information
- Experience with CRM systems, ERP platforms, business reporting tools, Power BI, or SAP is a plus
- Valid driver’s license with an acceptable driving record
- Ability to travel as needed
