About the Role

The Business Office Assistant supports the Business Office Manager in organizing and performing facility Business Office functions.

Responsibilities

  • Assist with verification of payor eligibility for all patient admission inquiries.
  • Enter and post census, resident fund transactions, cash receipts, adjustments, and ancillaries into MDI daily and as directed.
  • Communicate census information with pharmacy, labs, and other outside providers.
  • Complete facility and resident trust deposits and fax to Corporate.
  • Complete all month-end activities by established deadlines.
  • Assist with Pre-Admission paperwork to local area on aging upon admission.
  • Assist patient families with financial admission and Medicaid applications, if applicable.
  • Assist with the distribution of patient funds and facility petty cash.
  • Support the facility’s front office and reception areas.
  • Assist with Payroll or HR duties as directed.
  • Create and maintain a warm, personal, and positive atmosphere while ensuring a calm environment throughout the facility.
  • Maintain confidentiality of all residents and their care to protect resident rights and privacy.
  • Report and document resident and/or visitor incidents, accidents, complaints, or allegations according to facility policy.
  • Comply with safety requirements, infection control measures, and maintain a clean work environment.
  • Follow emergency protocols for crash carts, resident codes, fire safety, missing residents, tornado preparation, violent residents, Wander guard alarms, door alarms, and other facility policies.
  • Report any witnessed or known abuse and take appropriate action according to policy.
  • Follow infection control and universal precautions procedures.
  • Adhere to periodic cleaning schedules for equipment and return equipment to proper areas after use.
  • Ensure the facility is maintained in a clean and sanitary manner at all times.
  • Perform other duties as assigned by the Administrator, Field Accountant, or TLC Corporate Office.

Requirements

  • High school diploma or GED.
  • Proficiency with ten-key calculator and keyboarding.
  • Knowledge of accepted accounting practices.
  • Understanding of Business Office policies and procedures.
  • Basic typing, computer, organizational, and communication skills.
  • Experience with computers and data input/output, including report retrieval.
  • Ability to develop and interpret Business Office policies/procedures and apply them in specific situations.
  • Ability to follow oral and written instructions, function independently, and make independent decisions when necessary.
  • Ability to read, write, speak, and understand English.
  • Willingness to seek out and incorporate new methods and principles into existing practices.
  • Personal integrity and ability to deal tactfully with residents, family members, visitors, government agencies, and personnel.
  • Good physical and mental health, free of communicable diseases.
  • Ability to work harmoniously with professional and non-professional personnel.
  • Sound judgment in prioritizing tasks, duties, and responsibilities according to established standards, policies, and procedures.
  • Discretion in protecting the integrity of confidential information and compliance with Corporate policies.
  • Patience, a cheerful disposition, enthusiasm, and willingness to work with residents at their current maturity and physical level.
  • Adherence to a professional code of ethics.
  • Ability to relay information concerning a resident’s condition.

Qualifications (Preferred)

  • Experience in long-term care, medical billing, and knowledge of general ledger accounting.
