Step into an entry-level role where precision, learning, and growth are front and center. As a Billing Coordinator I, you’ll gain hands-on experience supporting technician payroll and billing operations while developing expertise in industry systems and processes.
- Process technician work tickets and import labor and materials with accuracy
- Enter and verify billing transactions across internal systems
- Track and record technician time in/out from work tickets
- Assign units worked to appropriate labor and material lines
- Ensure trip charges and additional fees are applied correctly
- Prepare detailed, accurate work orders (WOs) that reflect completed work
- Verify materials used align with services performed
- Identify and flag billing discrepancies for review
- Monitor work order status to keep workflows moving efficiently
- Add Unapplied Time (UPOs) to WOs and notify Payroll when needed
- Learn and assist with 2nd approvals and EFS (Executive Facilities Solutions) work orders
- Support daily invoicing activities under supervision
- Demonstrate consistent, high-level accuracy in all processing tasks
- Maintain compliance with client specifications and company policies
- Engage professionally with managers, teammates, and customers
Qualifications
We’re seeking detail-oriented, motivated individuals who are eager to learn and grow within a fast-paced environment. High school diploma or equivalent required. Prior billing or administrative experience preferred. Experience in HVAC or service-based industries is a plus. Strong attention to detail with a commitment to accuracy. Clear written and verbal communication skills. Basic to intermediate computer proficiency. Ability to quickly learn new software and systems. Typing speed of 50+ WPM. Organized, dependable, and self-motivated. Ability to multitask and manage shifting priorities. Comfortable working in a fast-paced environment. Willingness to work overtime as needed. Continuously able to work in office environment. Continuously able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer for eight or more hours daily. Occasionally able to lift up to 15 lbs.
