About the role
The Empire Toyota Service Department is seeking a dedicated Service Loaner Coordinator to join our team. This role requires a candidate who can deliver exceptional guest experiences, thrive in a fast-paced environment, and prioritize customer needs.
Responsibilities
- Communicate loaner vehicle policies, procedures, payment methods, and contract requirements clearly to clients.
- Verify client identification and insurance, and ensure copies are filed for dealership records.
- Inspect returned loaner vehicles, document and report any damage promptly, and communicate with management.
- Work collaboratively with service advisors and team members to ensure customer satisfaction.
- Reconcile customer bills, process payments, review fuel agreements, and record charges accurately.
- Close open invoices efficiently and assist with moving vehicles as needed.
- File repair orders, parts invoices, rental agreements, and other documents, keeping management informed.
- Ensure loaner vehicles are clean, fueled, and ready for use, conduct weekly inspections, and maintain proper documentation.
Qualifications
- Excellent communication, interpersonal, and organizational skills.
- Reliable and presentable in business attire.
- Experience in customer service or telephone contact.
- One year of prior dealership experience in a customer service position.
- Positive attitude, open to feedback, and flexible with work schedules.
- Strong computer and multitasking skills, including Microsoft Office.
- Attention to detail and strong work ethic.
