Responsibilities
- Acquires, under direct oversight, materials, supplies, parts, equipment, and services needed to support departmental operations.
- Processes purchase requisitions, purchase orders, invoices, receiving records, and related documentation.
- Obtains pricing information, quotes, product information, and vendor documentation.
- Performs, under direct oversight, accounts payable processes, including invoice review, purchase order matching, payment support, and record maintenance.
- Receives, stores, issues, transfers, and tracks inventory, materials, supplies, tools, equipment, and operational resources.
- Performs inventory transactions, cycle counts, stock replenishment activities, inventory research, and record maintenance.
- Maintains inventory control systems, stockroom organization, storage locations, and material handling procedures.
- Maintains asset records, inventory records, operational databases, and supporting documentation.
- Collaborates with vendors to coordinate movement and delivery of materials, supplies, equipment, and resources between facilities, vendors, and operational locations.
- Compiles, enters, verifies, and reconciles information from procurement, inventory, financial, and operational systems.
- Prepares and maintains reports, spreadsheets, correspondence, records, and operational documentation.
- Provides customer service and operational support to County departments, vendors, and internal customers.
- Aids in audits, inventories, reconciliations, and operational reviews.
- Participates in emergency operations and response activities as assigned.
- Assists with weather-related duties, such as snow removal.
- Performs other duties as required.
Requirements
- High school diploma or equivalent education.
- One year of experience in purchasing, contracting, procurement, materials management, inventory control, logistics, fleet parts operations, asset management, public works operations, or related resource management functions.
- Must possess and maintain a valid driver's license.
- Must possess and maintain a Forklift Operation Certification or must obtain within six months of employment.
- Must obtain and maintain necessary certifications, licenses, and training as applicable to the position.
Qualifications
- Working knowledge of purchasing processes, procurement requirements, cooperative purchasing methods, vendor documentation, purchase orders, and approval thresholds.
- Working knowledge of resource management functions related to procurement, finance and accounts payable, inventory control, material logistics, asset recordkeeping, budget coding, records retention, audit documentation, and public works operations.
- Working knowledge of inventory management principles, including inventory tracking, stock replenishment, cycle counts, warehouse operations, and inventory record maintenance.
- Working knowledge of financial documentation and processes, including invoice review, purchase order matching, payment processing, vendor statement reconciliation, account coding, and financial recordkeeping.
- Skills in maintaining accurate procurement, inventory, financial, asset, and operational records.
- Skills in data entry, recordkeeping, document management, and information tracking.
- Skills in utilizing procurement, inventory, financial, asset management, and operational software systems.
- Skills in organizing work, maintaining documentation, and completing assignments within established timelines.
- Ability to learn, understand, and apply County policies, procedures, operational practices, and applicable laws and regulations.
- Ability to compile, validate, maintain, and reconcile information from procurement, inventory, asset management, financial, and operational systems.
- Ability to identify and resolve routine discrepancies and refer complex issues to higher-level staff as appropriate.
- Ability to prepare and maintain reports, spreadsheets, correspondence, records, and operational documentation.
- Ability to effectively prioritize and manage multiple competing tasks simultaneously while meeting deadlines.
- Ability to communicate effectively, both verbally and in writing.
- Ability to provide excellent customer service in a fast-paced environment.
- Ability to establish and maintain effective working relationships with County employees, outside agencies, vendors, and the public.
- Ability to operate standard office equipment and utilize Microsoft Office applications and County business systems.
- Ability to safely operate a variety of equipment, including pickup trucks, delivery trucks, delivery carts, forklifts, hand trucks, dollies, small hand tools, computer and hand-held data collection devices, and standard office machines.
- Ability to work independently and in a team environment with limited supervision.
- Ability to complete Individualized Development Plan (IDP).
- Maintain regular and punctual attendance.
Benefits
This position has an anticipated work schedule of Monday – Thursday, 6:00am – 4:30pm; subject to change.
Pay
Hiring Range: $48,000.00 - $52,000.00 annually
