About the role

The Administrative Analyst provides administrative and personnel support for the Center for Preparedness and Response, serving as a backup Attendance Coordinator and Personnel Liaison while maintaining confidential records and documentation.

Responsibilities

  • Develops and reviews duty statements, organizational charts, hiring justifications, and recruitment materials to ensure they align with program and classification requirements.
  • Serves as Training Coordinator by tracking required training, processing training requests, arranging travel, and ensuring timely invoice processing.
  • Supports onboarding activities, prepares personnel-related documents, and offers staffing and workforce planning recommendations to management.
  • Captures and maintains databases to monitor program performance and compliance.
  • Serves as ADA compliance support for program documents and assists in coordinating accessible trainings and webinars.
  • Coordinates administrative drills, oversees position control, tracks staffing and funding information, and manages personal leave program (PLP) 2025.

Requirements

  • Experience supporting personnel processes such as onboarding, recruitment materials, and maintaining confidential records.
  • Ability to develop and review duty statements, organizational charts, and hiring justifications that align with program and classification requirements.
  • Strong skills in tracking staffing, funding, and program data using spreadsheets, databases, or dashboards.
  • Experience coordinating administrative drills, inspections, or compliance-related activities and recommending process improvements.
  • Knowledge of ADA accessibility requirements and experience supporting accessible documents or trainings.
  • Strong communication and customer-service skills for working with internal and external partners on administrative and personnel matters.
