Advancement Operations Coordinator
Position Summary
The Advancement Operations Coordinator at Riverview School is responsible for gifts management, database maintenance & reporting, & the management of daily operations of the Advancement office. This role maintains timely record keeping & processing of all gifts & provides direct support to the school's special events team.
Essential Functions
Gifts & Data - Process gifts (checks, online gifts, stock, matching gifts, & auction payments) & produce donor acknowledgement letters & tax receipts in a timely manner.
Maintain the donor database so that it remains clean, accurate, & trustworthy.
Reconcile gift records with the Business Office & pull reports that support the team's strategic decision-making.
Office Management - Serve as the primary point of contact for Advancement systems, tools, & shared calendars, & assist with budget tracking. Manage the logistics behind mailings & fundraising appeals. Identify process inefficiencies & work collaboratively with the team to improve them. Provide administrative support to Family Education & Support programming.
Development Events Support - Support the Advancement calendar including Opening Weekend, Fall Family Weekend, the Transition Weekend conference, Regional Receptions, & a spring Graduation Weekend that includes the Annual Fundraising Gala. In support of these events, the Coordinator will: Manage guest lists, invitations, RSVPs, & registrations. Support the Gala auction from item intake through night-of checkout & payment processing. Build event timelines, coordinate vendors & volunteers, & serve as a calm, can-do presence on event days. Complete event follow-through, including collecting payments, reconciling revenue, & ensuring donors are thanked.
Qualifications
Education & Experience - 1-3+ years of experience in development operations, gift processing, database administration, or nonprofit administration. Experience with donor database & event platforms (Veracross & Greater Giving Preferred).
Knowledge, Skills & Abilities - Detail-oriented with strong logistical & organizational skills. Ability to manage multiple deadlines while maintaining a warm, personal touch with donors, families, & the school community. Flexibility to work some evenings & weekends around major events. Genuine enthusiasm for Riverview's students & mission. Event support experience is a plus.
Additional Functions
Perform other duties as assigned by the Director of Advancement in support of the department's goals.
Reporting Relationship
This position has no direct supervisory responsibility. Reports directly to the Director of Advancement.
Work Environment & Physical Demands
Primarily an office environment with regular use of a computer, telephone, & standard office equipment. Occasional lifting of event materials & supplies up to 25 lbs. Ability to stand, walk, & remain on your feet for extended periods during on-campus events. Some evening & weekend work required in connection with Advancement events. Minimal local travel may be required for event-related errands.
Job Requirements
At least 2 year(s) of Relevant Experience Preferred.
High School/Trade School Degree preferred.
Citizenship, residency or work visa required.
