Administrative Support Supervisor
This is an onsite role in our Mt Juliet, TN facility.
About the role
The Administrative Assistant Supervisor provides high-level administrative support to site and senior leadership while overseeing day-to-day administrative operations. This role serves as a key business partner, ensuring seamless coordination of schedules, communications, reporting, office operations, and employee engagement activities. As the primary point of contact for administrative and office-related matters, this individual drives organization, efficiency, and professionalism across the site while supporting business priorities and fostering a positive workplace experience.
Responsibilities
- Lead and oversee administrative support activities, including workload prioritization, task delegation, process coordination, and quality assurance
- Manage complex calendars, meetings, and events for site and senior leadership, including scheduling, logistics, travel arrangements, visitor coordination, technology needs, and follow-up actions
- Coordinate leadership meetings, employee events, recognition programs, volunteer activities, and other site initiatives
- Prepare reports, presentations, dashboards, spreadsheets, meeting materials, and executive communications
- Maintain accurate records, trackers, documentation, and administrative systems to support operational efficiency and compliance
- Assist with purchase orders, invoice processing, expense reporting, budget tracking, and other administrative finance activities
- Serve as the primary contact for office administration, facility support, visitor management, and workplace-related inquiries
- Coordinate office supplies, workspace organization, and interactions with internal departments and external vendors
- Support cross-functional communication and collaboration with employees, leadership, and business partners
- Maintain confidentiality while managing sensitive information, special projects, and other administrative initiatives
Requirements
- High school diploma or equivalent
- 3+ years of administrative support experience, preferably supporting senior leaders or executives
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Strong calendar management, meeting coordination, and organizational skills
- Excellent written and verbal communication skills with the ability to interact professionally across all levels of the organization
- Proven ability to manage multiple priorities, adapt to changing business needs, and exercise sound judgment in a fast-paced environment
- Experience preparing reports, presentations, meeting materials, and executive support documentation
- Ability to maintain confidentiality and handle sensitive information with discretion
Preferred Qualifications
- Associate's or Bachelor's degree
- Experience supporting senior leaders within a manufacturing or industrial environment
- Experience coordinating executive travel, conferences, off-site meetings, and large-scale events
- Advanced PowerPoint and Excel skills, including reporting, data tracking, and presentation development
- Experience with expense management, purchasing, and enterprise scheduling systems
Pay
Pay Range: $43,600.00 - $71,800.00
