Supervisor, Administrative Support
About the role
The Supervisor, Administrative Support, provides executive level support to their assigned executives and teams by managing calendars, communications, travel schedules, team meetings, and reports as assigned. This role organizes and develops information and materials necessary for meetings, special projects, presentations, and reports and provides additional support as assigned.
This position also professionally represents TRIMEDX in all interactions by demonstrating a commitment to the TRIMEDX brand, vision, mission, and values. A key component of this role will be to supervise and maintain consistency, staffing, training, and performance for the assigned administrative support team. This will be achieved through a combination of liaising with the staff’s executives and the staff in person and remotely.
Responsibilities
- Executive Level Support – 60%
- Support assigned executives with all administrative support needs.
- Manage calendars, phone calls, reports, travel schedules, and team meetings.
- Perform additional support tasks: onboarding, coordinate meetings, prepare documents, take notes/minutes, send reminders/responses, maintain files, invoice approval, legal ticket prioritization.
- Organize and develop information and materials necessary for meetings, special projects, presentations, and reports.
- Collaborate with senior management and stakeholders to identify business projects; manage resource allocation, and the development of project deliverables.
- Interface with customer contacts, vendors, and community leaders.
- Supervisory Oversight of Admin Team – 40%
- Supervise workload distribution and clearly communicate performance expectations, goals, and objectives.
- Supervise the staff’s review process, liaise with staff’s executives, and provide feedback as appropriate.
- Develop and motivate staff to grow as leaders by serving as a role model and mentor.
- Interview and hire for the staff as needed; address poor performance concerns as they arise and exit nonperforming staff as required.
- This will be achieved through a combination of liaising with the staff’s executives and HR.
- Mitigate team conflict and communication problems.
Skills and Experience
- Minimum 5 years of experience providing executive level support.
- Experience in a large (over $500m), nationally operated company preferred.
- Experience in large event planning for 400+ attendees including travel arrangements.
- Demonstrated knowledge of Microsoft Office applications at an intermediate or advanced level.
- Ability to lead, motivate, and develop others.
- Ability to manage time and set priorities amidst multiple tasks and deadlines.
- Strong project management skills.
- Excellent organization and planning skills.
- Proven creativity and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to work comfortably with all levels of the organization.

Qualifications
- A high school degree or equivalent required.
- An associates degree or equivalent experience preferred.
