Primary Purpose of Position

The Administrative Support Supervisor will assist the University in meeting its recruitment and enrollment objective by supervising the processing of applications, managing the computer-based admissions systems, providing data required for management decisions, reviewing and determining student eligibility for North Carolina residency for fee purposes, developing and managing electronic application forms following up with admitted students and supervising operations staff. The Administrative Support Supervisor supports the student recruitment effort as needed and performs other activities as assigned by the Director of Undergraduate Admissions.

Responsibilities

  • Plan, organize and supervise the processing of applications; manage the computer-based admissions system; provide data required for management decisions; identify and determine student eligibility for North Carolina residency for fee purposes; develop and manage electronic application forms; follow up with admitted students; and supervise operations staff.
  • Ensure effective and efficient processing of applications by designing application forms, supervising the processing of admissions applications and transcripts, monitoring achievement of office goals for response time, and providing direction and supervision to the evaluation staff.
  • Develop a competent, productive, and effective staff by selecting and supervising, directly and through delegation, designated administrative support personnel and student and part-time employees. Directly supervise 4 team members and lead hiring, disciplining, and performing staff evaluations in accordance with University policies and procedures.
  • Administer the University's undergraduate admissions policy by reviewing the academic credentials of applicants, advising students not qualified for admissions regarding alternatives, and recommending exceptions to senior administrators when appropriate.
  • Support University student recruitment efforts by understanding the data stored in the student database, maintaining the integrity of the data entered in the database, and understanding and properly using the data extracted from the student database.
  • Provide and analyze information for management purposes by producing reports as needed utilizing familiarity with student databases and using query tools.
  • Support efforts to develop processes to avoid duplication of student records by understanding how each University department affects student records and working with University departments in resolving issues related to duplicated student records.
  • Contribute to the success of the Office of Undergraduate Admissions by advising and assisting the Director of Undergraduate Admissions in all aspects relating to the recruitment and admissions of undergraduate students and by performing all other essential duties as assigned.
  • Apprise the Director of issues which may develop as it relates to personnel, management, technology, and infrastructure needs.
  • Demonstrate knowledge of the admission process, documents processing, file maintenance and Banner System. Use Banner Student, Nolij, Clearinghouse to assist with the daily input and verification of admissions data.
  • Ensure effective follow-up with admitted students by developing admissions letters and information for those students, supervising the processing and distribution of admissions letters, coordinating with other offices (e.g., Orientation, Residence Life, University College, Transfer Services, and Financial Aid) in dissemination of information to admitted students, and conducting research regarding the needs and perceptions of admitted students.
  • Develop a systematic approach to entering transfer credit in an efficient and timely manner in collaboration with the Office of Transfer Services.
  • Communicate with prospects, applicants and admits using multiple formats including email, letter, memo and postcard. Review sensitive documents using close attention to detail. Provide clear and concise information to prospects and applicants. Explain the admission process, policies and procedures to university staff, faculty and inquiries. Handle high volume of customer calls.
  • Ensure the efficiency of admissions procedures by developing and maintaining procedure manuals for admissions systems users, conducting training, coordinating informational updates with supervised staff and other administrative offices which use the admissions systems, and developing and managing enhanced admissions services through technology.
  • Identify and recognize problems that impact work flow and which prohibit efficiency and effectiveness. Provide necessary training to supervised employees to ensure operations are effective and do not cause delay and/or inaccuracies.

Required Knowledge, Skills, and Abilities

  • Provide data required to meet the Office of Undergraduate Admissions' needs by using query management tools, researching data requests, working with Information Technology/Enrollment Research staff to develop queries and reports to meet the needs of departments and offices for data to support enrollment goals and recruitment initiatives.
  • Provide and analyze information for management purposes by producing reports as needed utilizing familiarity with student databases and using query tools.

Qualifications

  • Education: Associate's Degree required.
  • Experience: A minimum of three to five years of experience working in higher education is required; familiarity with the University of North Carolina system is preferred. Experience in admissions or a closely related function, and/or experience with complex administrative data systems (ex. BANNER) and/or supervisory experience are required.

Minimum Education/Experience

High school diploma or equivalency and two years of progressively responsible administrative/office management experience, including some experience as a lead worker; or equivalent combination of training and experience.

Schedule

Monday - Friday, 8:00 am - 5:00 pm. Fully on-site (dedicated office at Duty Station).
