About the role

The Department of Social Services – Children’s Division seeks an Administrative Support Assistant to provide administrative and clerical support to the training unit. This role involves coordinating meetings and training logistics, preparing meeting materials, maintaining electronic records, and supporting office operations.

Responsibilities

  • Coordinate meetings and training logistics, including scheduling, calendars, and virtual meeting setup
  • Prepare meeting agendas, take notes, and distribute summaries or minutes
  • Serve as a point of contact for the training unit, responding to routine inquiries and directing requests as needed
  • Maintain electronic records and filing systems in accordance with agency guidelines
  • Enter, update, and retrieve information in agency systems and tracking tools
  • Use Microsoft Word, Outlook, Excel, and PowerPoint for routine administrative and tracking tasks
  • Maintain basic spreadsheets or logs to support reporting and coordination
  • Aid with office and training-related support tasks, including supply ordering and expense documentation
  • Learn new systems, software, and procedures as needed to support unit operations

Requirements

  • One or more years of experience in office support work
  • Possession of a high school diploma or proof of high school equivalency
  • (Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year)

Preferred Qualifications

  • Strong organizational skills and attention to detail
  • Strong computer skills and comfort working in multiple systems
  • Ability to learn new software and processes
  • Ability to manage multiple tasks and meet deadlines
  • Professional written and verbal communication skills
  • Working knowledge of Missouri Office applications
  • Familiarity with Learning Management Systems
  • Experience with survey tools such as Qualtrics
