Administrative Project Coordinator
Job Summary
This position is a hybrid of administration & project management, requiring an onsite presence 3 days a week with 2 days remote. Local Richmond, VA candidates are required due to the onsite requirement.
About the Role
The candidate will handle many aspects of the day-to-day operations of the Operations Technology Groups business office and technology needs. This includes hosting professional meetings (in-person or Teams), representing the division or project's expectations, task-based organizing for the program area, managing artifacts for historic files, maintaining department-specific calendars (for renewals, projects, contracts), handling procurement requests from users, evaluating vendor quotes for accuracy and alignment with department/requestor needs, following up on procurement and deliverables to ensure accurate record-keeping, working with vendors on timelines and rollouts of patches and upgrades, and assisting management with process improvements and opportunities. The candidate will also assist in cataloging software licenses and installing counts for active users.
Responsibilities

- Artifacts manager for historic files.
- Maintain department specific calendars (Renewals, Projects, Contracts).
- Able to handle procurement requests from users and process accordingly within systems of record.
- Evaluate vendor quotes for accuracy and alignment with department/requestor needs.
- Follow up on procurement and deliverables to ensure accurate record-keeping.
- Work with vendors on timelines and rollouts of patches and upgrades.
- Able to assist management with process improvements and opportunities.
- Absorb and install software licenses for active users.
Qualifications
Strong organizational skills, ability to manage multiple tasks simultaneously, and proficiency in Microsoft Office Suite are required. Experience in project management, administrative support, and familiarity with procurement processes are preferred. Knowledge of software licensing and installation is beneficial.
