Provides administrative support to the staff at the Corrections Training Academy (CTA).

Responsibilities

  • Gathers and organizes data for all training classes.
  • Compiles class rosters, creates badges using a computer program, manages keys, signs in new students, and makes room changes as needed.
  • Produces finished documents from rough copy, machine dictation, or shorthand (e.g., correspondence, memos, forms, reports, minutes of administrative meetings, rosters, and schedules) as requested by CTA supervisory staff.
  • Edits and corrects sensitive and confidential information based on written or oral instructions.
  • Exercises diplomacy and discretion in releasing information.
  • Independently responds to routine written or oral correspondence (e.g., employment procedures, requests for information from applicants, DRC, and other state agencies).
  • Codes information for filing and retrieval, ensuring up-to-date records for immediate access using PC software (e.g., DRC training assessment data, employee information, applicant details, and assessment results).
  • Reviews files for outdated information and recommends changes or disposal.
  • Collects and collates data for statistical research to generate reports for supervisory staff.
  • Completes follow-up work on training, assessment, and other areas to ensure job completion and reports progress to the supervisor.
  • Assists supervisor with delegated tasks (e.g., monthly reports for DRC, Operation Support Center documents, assessment data).
  • Performs general clerical duties (e.g., acts as receptionist, answers and routes telephone calls, takes messages, schedules appointments, greets visitors, opens and distributes mail, makes photocopies).
  • Attends meetings, trainings, and conferences.

Requirements

  • 1 year of training or experience in secretarial science or business office applications.
  • For positions requiring technical terminology: 6 months of training or experience in relevant technical terminology.
  • Equivalent combination of the above minimum qualifications.

Benefits

  • Full-time position with a 40-hour workweek.

Pay

$22.59 per hour.

Schedule

Full-time, classified position under the OCSEA union.

Work Location: DRC Central Office, Pickaway County, Ohio.
