About the Role

We are seeking a highly organized and proactive Office Assistant to join our Attorney Support Services team. The ideal candidate will excel in a professional and team-oriented environment, demonstrating excellent communication skills, meticulous attention to detail, and the ability to thrive in a fast-paced setting.

We provide every incoming employee with individualized training to ensure expertise in Becker’s above-industry-standard software and role-specific responsibilities. To support employee health and safety, Becker has committees such as the Mental Health and Wellness Committee, which prioritizes individual well-being.

Responsibilities

Office Services Duties

  • Conduct mailroom operations, including opening, sorting, and scanning incoming mail and packages for distribution in the absence of the receptionist.
  • Prepare copying, scanning, and printing jobs as requested.
  • Process daily outgoing U.S. mail and interoffice FedEx packages, delivering them to the appropriate locations.
  • Coordinate mid-level IT support for the office, including handling assignments and return of firm IT equipment.
  • Order office supplies, business cards, and maintain an appropriate level of inventory.
  • Handle annual supply and furniture inventory and maintain an IT equipment spreadsheet.
  • Coordinate service for copiers and printers, and replace toner as necessary.
  • Restock and shelve photocopy paper, and fill printers and copiers with paper daily.
  • Maintain and restock the break room and coffee station daily.
  • Assist in the maintenance of the file room.
  • Assist with remote storage file requests and returns.
  • Perform occasional errands as needed.
  • Maintain supplies in visiting attorney offices and keep offices clean and neat.
  • Save certified return receipts and signatures for litigation matters.

Office Assistant Duties

  • Assist the Office Manager with various office projects.
  • Assist with seminar and workshop preparation as needed.
  • Assist with daily attendance email.
  • Assist with UKG review.
  • Review office operation invoices and enter them for payment.
  • Assist with vendor invoice processing as needed.

Concierge Duties

  • Offer and serve beverages to clients and attorneys in conference rooms.
  • Place and pick up food orders for meetings in the absence of the receptionist.
  • Set up and clean conference rooms, lounges, or other spaces used for meetings or gatherings.
  • Ensure all meetings are equipped with necessary IT equipment, such as laptops.
  • Set up meetings with requested snacks, breakfast, lunch, and/or dinner, including beverages and utensils.
  • Assist the Office Manager with coordinating office events (e.g., staff luncheons, fundraisers, holiday parties), including catering, rentals, and logistics.

Additional duties may be assigned as required.

Requirements

  • High school diploma or equivalent; some secretarial training preferred.
  • At least three (3) years of administrative office experience.
  • Proficiency in secretarial skills, including keyboarding, personal computers, and word-processing/spreadsheet software.
  • Ability to organize files and workflow efficiently.
  • Strong command of the English language, with excellent verbal and written communication skills.
  • Reliable, highly organized, and able to work well with coworkers.
  • Reliable transportation and a valid Florida Driver’s License.
