Administrative Assistant | TRIO Student Support Services, WSU Tri Cities (Richland, WA)
Washington State University Tri Cities and TRIO Student Support Services (TRIO SSS) is seeking an Administrative Assistant to support TRIO participants who are first-generation, limited-income students, and individuals with disabilities.
About the role
Under the direction of the Director of TRIO Student Support Services, you will plan, organize, and coordinate all aspects of the program. Responsibilities include maintaining program directives as set by the federal grant, complying with federal and state policy, and working directly with students to respond to inquiries, educate them about TRIO's services, record and enter data, create fliers, and assist with program activities and events.
Annually, you will help assess the program, run APR grant reports, maintain budget paperwork and reconciliation, and compose correspondence and other documents.
Responsibilities
- Plan, organize, and coordinate all aspects of the TRIO Student Support Services program.
- Communicate openly with the Director on critical and complex situations.
- Maintain program directives as set by the federal grant and comply with federal and state policy.
- Respond to student inquiries regarding enrollment in the program and educate them about TRIO's services.
- Record and enter student data in the tracking system.
- Create fliers and assist with planning program activities and events.
- Assess the program annually and run APR grant reports.
- Maintain budget paperwork and reconciliation.
- Compose correspondence and other documents.
- Travel overnight and work a flexible schedule, including nights and weekends, with occasional supervisory responsibility of students.
Requirements
- High school diploma or equivalent AND two years of clerical, office, or administrative experience; OR one year of experience as an Administrative Assistant 1; OR equivalent education/experience.
- Two years of experience working in a service-oriented office environment, such as student services (advising, financial aid, admissions, etc.).
- Experience with Microsoft Office, calendar management in Outlook, and Zoom.
- Experience performing complex clerical duties, such as database management, financial record keeping, budget reconciliation, maintaining records, and/or coordinating office operations.
- Ability to communicate and work effectively with students from all backgrounds, including first-generation, low-income, and students with disabilities.
- Ability to work effectively and collaboratively within a team environment.
Preferred Qualifications
- Associate’s or Bachelor’s degree in a relevant field.
- Bilingual: fluent oral and written communication skills in a language other than English.
- Previous work experience at an institution of higher education.
- Demonstrated ability to exercise professional judgment and leadership, and work independently at times.
- Experience with Washington State University business policies and procedures and/or federal grant regulations, such as the College Assistance Migrant Program (CAMP), High School Equivalency Program, a TRIO program, GEAR Up, or similar grant programs.
Pay
Monthly salary: $3,738.00 to $4,980.00 (Range 41). Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.
Schedule
This is a full-time (100% FTE), temporary, on-site/in-person position located on the WSU Tri Cities campus in Richland, WA. The position is overtime eligible and expected to end on August 31, 2030, with renewal dependent on funding and need for extension.
