This position is an in-office role located in Mechanicsburg, PA, with a 5-day on-site schedule.

Responsibilities

  • Assist all regional leaders within any projects or requests.
  • Burst disbursements checks and prepare for mailing; prepare paid invoices for filing.
  • Assist with Safety Program management and events.
  • Project and Initiative management as needed.
  • Coordinate Store Room and office deliveries.
  • Coordinate local van pool vehicles.
  • Coordinate mail and outgoing packages, order office and event supplies.
  • Create PowerPoint presentations for community and employee events; track participation, RSVPs, and coordinate company events.
  • Serve as Facilities Coordinator to ensure building is safe and secure, including price negotiation and vendor selection.
  • Maintain communication boards throughout the building.
  • Maintain database and creation for security building badges.
  • Negotiate catering and food vendors for company meetings and training.
  • Order office supplies.
  • Act as point of contact to coordinate training in our training room for visitors and associates.
  • Maintain visitor log and notify appropriate party of visitor arrival.
  • Troubleshoot and make minor changes to phone system.
  • Restock supplies for building, company, and customer events.
  • Set up and break down after meeting events.
  • Sort and distribute daily mail to departments and associates.
  • Ensure phone coverage is maintained during absences.
  • Coordinate annual health event; occasionally requires overtime/weekend work.
  • Assist Regional Finance Leader with accounts receivables.
  • Use procurement systems: create purchase orders for vendors, ensure vendors bill correctly, and look up invoices.
  • Answer all incoming calls in a timely, courteous, professional manner, and direct calls to the appropriate person/department/location.
  • Ability to lift up to 25 lbs.
  • Occasionally/regularly require overtime.

Requirements

  • High school diploma or general education degree (GED); and two to three years related experience with a multi-line phone system preferred; or equivalent combination of education and experience.
  • Working knowledge of Microsoft Office products.
  • Proficient in Microsoft Office Suite, specifically Excel.
  • Some Salesforce experience is preferred.

Pay

Annual Base Salary Range: $54,751.66 - $88,900.00 (Exception Hourly).

Compensation depends on elements such as seniority, merit, geographic location, education, experience, travel requirements, and union designation.
