About the role
You will serve as the essential organizational hub connecting project managers, office staff, and field crews. In this high-impact role, you will streamline daily workflows and keep critical documentation moving forward. Your attention to detail directly ensures our team delivers exceptional restoration services to our clients on time.
Responsibilities
- Manage daily office workflows, schedules, records, and correspondence to keep operations running smoothly.
- Direct phone communications, greet office visitors, and address customer inquiries with professional care.
- Enter and track project documentation, job notes, and customer records in JobTread, RAMP, and QuickBooks Online.
- Aid project managers by compiling work authorizations, permits, change orders, invoices, and completion forms.
- Cook up vendor records, insurance documents, W-9s, and purchase tracking to prevent project delays.
- Maintain office inventory, manage supplies, and organize physical and digital filing systems efficiently.
- Prepare accurate financial documentation, customer billing records, and expense reports for leadership review.
Requirements
- A high school diploma or equivalent educational background.
- Strong working knowledge of Microsoft Office applications, specifically Outlook, Word, and Excel.
- Demonstrated ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Excellent written communication, organizational skills, and professional phone etiquette.
- Willingness and technical aptitude to master company software systems including JobTread, RAMP, and QuickBooks Online.
Qualifications
- Two or more years of experience in administrative support, office management, or project coordination.
- Prior experience within the construction, restoration, home services, or insurance-related industries.
- Background in utilizing specialized software platforms like JobTread, RAMP, or QuickBooks Online.
