The Administrative Assistant/Office Manager at Elevate Outdoor Collective supports a hybrid office environment for approximately 40-50 employees. This role serves as the primary point of contact for office facilities, vendors, building management, and workplace services.

Responsibilities

  • Manage daily office operations to ensure a productive and professional work environment.
  • Provide administrative support for on-site and remote C-suite, with travel, presentations, calendaring, etc.
  • Maintain office procedures, documentation, and workplace communications.
  • Manage incoming and outgoing mail, packages, courier services, and deliveries.
  • Distribute mail and packages promptly to employees and departments.
  • Carefully coordinate shipping requests and maintain relationships with delivery service providers.
  • Serve as the primary liaison with the landlord, property management team, and building operations personnel.
  • Submit, track, and follow up on building maintenance requests and facility-related issues.
  • Coordinate office repairs, preventative maintenance, and workplace improvement projects.
  • Ensure compliance with building policies, safety requirements, and access procedures.
  • Coordinate relationships with office and facility vendors, including maintenance providers, security services, and equipment suppliers.
  • Plan, coordinate, and execute office events, employee celebrations, team gatherings, holiday events, and recognition activities.
  • Organize and manage onsite luncheons, catering orders, and refreshments for meetings and employee events.
  • Coordinate logistics for company meetings, town halls, training sessions, and special events, including room setup, vendor coordination, and food service.

Qualifications

  • 3+ years of office management, workplace operations, facilities coordination, or related administrative experience.
  • Experience supporting a hybrid office environment.
  • Experience coordinating with building management, landlords, and external vendors.
  • Demonstrated ability to independently manage multiple priorities and projects.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Teams.
  • Ability to lift and move packages and supply deliveries up to 25 pounds.

Physical Requirements

  • Ability to sit for long periods of time.
  • Ability to enter data for long periods of time.
  • Ability to sit in front of computer for long periods of time.
  • Ability to discern and differentiate colors.
  • May be required to lift 15-50 pounds occasionally.
