This position plays a key role in assisting the safety team by providing administrative support, organizing documentation, and ensuring smooth communication between departments. The Administrative Assistant will maintain accurate records, schedule meetings, prepare reports, and support the team and Director of Safety in a fast-paced environment.

Responsibilities

  • Maintain accurate records by keeping and tracking injury logs, safety audits, and employee certifications.
  • Assist in scheduling safety classes, drug testing, meetings, and tracking attendance.
  • Collect data, organize, and assist in preparing reports for the leadership team.
  • Communicate with new and current employees, answer safety questions, and pass messages between workers and safety managers.
  • Organize safety manuals and prepare files for safety management.

Requirements

  • High school diploma or equivalent; Associate’s degree or relevant certification preferred.
  • 2+ years of administrative experience, preferably in the construction or related industries.
  • Basic understanding of construction terminology is a plus.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to maintain accurate and organized records.
  • Ability to work well independently and as part of a team.
