The Administrative Assistant acts as a role model for administrative support staff, demonstrating high-level performance, professionalism, and confidentiality while supporting the Logistics Operations team.
Responsibilities
- Provides administrative support to the Logistics Operations Administrator and team.
- Organizes and prioritizes daily administrative tasks to ensure seamless office operations.
- Oversees office activities to maintain a functional and professional work environment.
- Proactively engages with supervisors to address operational needs.
- Facilitates check-in round tables with new associates, takes notes, and follows up on pending matters.
- Accurately communicates sensitive information to and from stakeholders.
- Drafts correspondence and produces error-free, grammatically correct documents.
- Demonstrates proficiency in computer software, with a strong emphasis on PowerPoint, Access, and Excel, including preparing presentations for KPIs, financial data, and operational processes.
- Conducts floor walk surveys and reports findings to Leadership.
- Tracks and maintains confidential personnel records.
- Manages phone communications, screens information, and accurately distributes messages.
- Orients new hires on company policies and procedures.
- Meets with contractor vendors to discuss weekly strategies and monthly events aimed at reducing attrition.
- Anticipates and proactively resolves requests and issues.
- Organizes and maintains files and sensitive information.
Requirements
- High School Diploma or GED.
- Minimum of 1 year of experience in a fast-paced environment.
- Strong ability to communicate clearly and concisely.
- Excellent prioritization, organization, and time-management skills to meet strict deadlines.
- Reliable attendance and punctuality, including breaks and lunch periods.
- Proficiency in Excel.
Preferred Qualifications
- Experience with PowerPoint and Access Database.
- Experience with Kronos.
- Experience with Microsoft Forms.
