We are looking for an Administrative Assistant to support a busy office environment in Eatontown, New Jersey. This Contract to Permanent opportunity is ideal for someone who thrives in a fast-moving setting, stays organized under pressure, and can manage a wide range of administrative tasks with accuracy.
About the role
The role will contribute to daily operations across legal and collections-related workflows while helping the team maintain timely, well-documented processes.
Responsibilities
- Manage high-volume administrative support activities, including document scanning, file indexing, copying, and accurate data entry.
- Assemble, review, and distribute outgoing packets, correspondence, and mailings to ensure materials are complete and sent on time.
- Prepare legal and judgment-related documentation by organizing supporting information and maintaining detailed records.
- Enter and update case or account information in spreadsheets and internal systems with strong attention to detail.
- Perform calculations related to bank and wage information and assist with judgment entry tasks as needed.
- Monitor calendars, track deadlines, and help coordinate time-sensitive follow-up actions for the department.
- Draft clear written responses and provide general administrative support for client-related communications.
- Assist with audit preparation by gathering files, organizing documentation, and responding to internal information requests.
- Support front-office and general office functions, which may include handling inbound calls and providing receptionist-style assistance when needed.
Requirements
- Prior experience in administrative support, office coordination, or a similar clerical role.
- Ability to handle multiple tasks efficiently in a high-volume, fast-paced work environment.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Comfort working with spreadsheets and basic computer systems for tracking and reporting purposes.
- Strong communication skills, including the ability to manage inbound calls and written correspondence.
- Capable of organizing documents, preparing files, and maintaining orderly records.
Qualifications
Associate or bachelor’s degree is helpful, but not required for candidates with relevant office experience.
